Job description

We are seeking a part-time, experienced, and detail-oriented Proposal Coordinator to join our team. This position plays a critical dual role in both managing the proposal development lifecycle. The ideal candidate will manage the proposal schedule, coordinate inputs, and drive team collaboration, ensuring timely, high-quality submissions.
The Proposal Coordinator will be responsible for supporting the preparation and submission of proposals for Federal and public sector contracts. The role will involve managing document preparation, ensuring compliance with RFP requirements, coordinating internal teams, and maintaining timelines for proposal submissions. This position requires someone with strong organizational skills, attention to detail, and the ability to work collaboratively across departments.
Key Responsibilities:
  • Proposal Preparation & Management:
    Coordinate and manage the creation of proposals from start to finish, ensuring all sections are completed, formatted correctly, and submitted on time. Support the proposal team by reviewing and editing draft materials.
  • Document Management & Compliance:
    Maintain standardized proposal response formats and ensure compliance with federal, state, and local government requirements. Ensure all mandatory documents, such as forms and certifications, are accurately completed and submitted.
  • Kickoff Deck & Color Calendar Development:
    Develop and manage the proposal kickoff deck, aligning teams with the proposal strategy, timelines, and key milestones. Ensure that the proposal color calendar is updated and serves as a central planning tool throughout the proposal lifecycle.
  • Work Breakdown Structure (WBS):
    Assist in the creation and maintenance of the WBS to break down the proposal process into manageable tasks. Ensure that teams are aware of their responsibilities and deadlines.
  • Cross-functional Collaboration:
    Work with internal teams, including technical writers, subject matter experts, and graphic designers, to gather the necessary information for the proposal. Facilitate collaboration between departments and external vendors as needed.
  • Proposal Reports & Analysis:
    Prepare and present regular proposal updates to leadership, including pipeline metrics, win/loss analysis, and strategic insights.
  • Proposal Strategy Support:
    Contribute to the proposal strategy development, including supporting capture activities and tailoring the proposal to meet the specific requirements of the RFP.

Required Skills & Experience:
  • 3+ years of experience in proposal coordination or management, with a proven track record of supporting successful proposal submissions.
  • Familiarity with government RFP processes and compliance.
  • Proficiency in Microsoft Office Suite and Adobe Creative Suite.
  • Experience in creating and managing proposal kickoff decks, color calendars, and work breakdown structures (WBS).
  • Familiarity with proposal development methodologies such as Shipley or APMP
  • Excellent organizational skills and the ability to prioritize tasks in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Bachelor's degree in English, Journalism, Communications, Marketing, Business, or a related field
  • APMP Foundation-level Certification preferred.
