Description:

The Office Manager at the Lee-Itawamba Library System is a system headquarters administrative position reporting to the Executive Director and CEO. The Office Manager serves as a crucial first contact for incoming calls and inquiries, particularly those pertaining to administrative matters. This position oversees daily administrative office operations, supply management, and vendor relationships, serves as a liaison to the Administrative Board of Trustees and supports the Board by taking meeting minutes, maintaining Board files, and tracking Board procedures as necessary, and maintains the library system’s official files and personnel records. The Office Manager also coordinates both internal and external scheduling and reservations for library space, maintains and distributes a monthly calendar of meetings and programs, and manages annual statistical reporting processes. This position also supervises the Lee County Library’s custodial staff and manages procurement for facility-related supplies.

This position will begin in October 2026 as an Administrative Assistant, training with the current Office Manager through January 2027. Following the current Office Manager’s retirement in January 2027 this position will be officially promoted into the Office Manager role.

Central functions and responsibilities of this role include:

  • Oversees daily administrative office operations and supply management
  • Supports the Administrative Board of Trustees with records management and other duties
  • Maintains Lee-Itawamba Library System official files and personnel records
  • Coordinates scheduling and reservation of library meeting space
  • Books official library travel and oversees control of library purchasing cards
  • Distributes mail, shipments, and supplies
  • Other duties as assigned
Requirements:
  • 2-3 years’ experience in an administrative or office management role
  • Experience supervising staff or providing successful project-based leadership
  • Ability to foster a positive and supportive team environment among library colleagues
  • Proven record of excellent communication skills—written, verbal, and customer service
  • Ability to handle multiple simultaneous projects and deadlines
  • Strong team player
  • High level of self-motivation, problem-solving skills, and resourcefulness
  • Ability to work both independently and collaboratively
  • Experience overseeing procurement and negotiating vendor contracts
  • Ability to manage multiple responsibilities and prioritize time-sensitive tasks
