Accounts Payable & Payroll Specialist (Direct Hire)

Location: Miami, FL 33186
Job Type: Full-Time | Direct Hire
Schedule: Monday – Friday | 7:30 AM – 4:30 PM
Pay: $60,000 – $65,000 per year

 

Position Overview

A well-established, family-owned service company is seeking an experienced Accounts Payable & Payroll Specialist to join its team. This is a long-term, direct hire opportunity for a detail-oriented accounting professional who enjoys working in a collaborative, non-corporate environment.

The ideal candidate will have extensive experience with accounts payable, bookkeeping, and payroll processing, along with excellent organizational skills and a commitment to accuracy and confidentiality. This position also provides general administrative support and assists with reception duties as needed.

 

Essential Responsibilities

·         Manage the full Accounts Payable cycle, including reviewing, verifying, processing, and reconciling vendor invoices.

·         Process bi-weekly payroll for approximately 35 employees using ADP.

·         Maintain employee payroll records, deductions, benefits, and timekeeping information.

·         Perform account reconciliations and prepare journal entries to ensure financial accuracy.

·         Assist with month-end closing activities and financial reporting.

·         Generate payroll and accounting reports using Microsoft Excel.

·         Maintain organized electronic and paper financial records.

·         Ensure compliance with company policies and payroll regulations.

·         Provide bookkeeping and general accounting support.

·         Answer incoming phone calls and assist with reception responsibilities during busy periods.

·         Enter service calls and provide general office administrative support.

·         Collaborate with management and other departments to ensure smooth daily operations.

·         Handle confidential employee and financial information with professionalism and discretion.

 

Qualifications

·         Minimum of 3-5 years of recent experience in Accounts Payable, Bookkeeping, and Payroll.

·         Payroll, Bookkeeping, or Accounting Certification is required.

·         Experience processing payroll using ADP or similar payroll software.

·         Strong working knowledge of QuickBooks Online.

·         Bilingual in English and Spanish is required.

·         Proficient in Microsoft Excel (including formulas and basic data analysis) and the Microsoft Office Suite.

·         Strong 10-key and data entry skills with a high level of accuracy.

·         Experience performing account reconciliations, preparing journal entries, and supporting month-end closing activities.

·         Excellent attention to detail, organizational skills, and the ability to manage multiple priorities while meeting deadlines.

·         Professional communication and customer service skills with the ability to assist with reception and general office administrative duties as needed.

·         Experience in the construction, plumbing, service, or trade contractor industry is highly preferred.

·         Ability to maintain strict confidentiality when handling employee payroll and company financial information.
