The Academic Programs Specialist provides comprehensive academic and administrative leadership for both the Undergraduate and Graduate Programs within the Division of Electrical & Computer Engineering. The position oversees program coordination, student records, admissions logistics, graduate employment processing, and accreditation-related data management. This position works in close coordination with departmental staff to ensure alignment with Division policies, academic procedures, and operational priorities. The specialist operates independently in day-to-day program administration while supporting strategic academic oversight led by the senior departmental staff.

20% Program Coordination and Administration; Coordinate day-to-day operations for the department's undergraduate and graduate programs; Support program planning, scheduling, and implementation in collaboration with faculty, program directors, and advisors; Assist with course scheduling, catalog updates, and classroom assignments.; Maintain and communicate accurate program information, including degree requirements, academic policies, and deadlines; Serve as the liaison between the department and the College Operations Office (HR and Finance) by coordinating student worker (graduate and/or undergraduate) appointment

20% Graduate Student Data Management; Maintain comprehensive and accurate data on graduate student enrollment, funding, milestones, progress to degree, and alumni outcomes; Develop and manage databases and tracking tools for graduate student records using Microsoft Excel, Teams, and SharePoint; Generate and analyze reports to support departmental and college planning, accreditation, and compliance with college and university policies

20% Graduate Recruitment and Admissions Support; Work with Graduate Student Advisor to Coordinate logistics for graduate student recruitment and admissions activities, including application tracking, communication with prospective students, and event support; Assist with the review and processing of applications in coordination with faculty and the Graduate School; Manage correspondence with applicants regarding application status, funding offers, and campus visit arrangements; Process assistantships, fellowships, and scholarships; prepare offer letters and other personnel forms; Serve as the department Student Employment Partner; Support the onboarding of new graduate students, including orientation, training, and initial advising.

20% Undergraduate Program Support; Provide administrative support to the undergraduate program, including data tracking for enrollment, advising, and student progression; Assist undergraduate advisors with record management, student communications, and coordination of advising sessions and events; Maintain and update undergraduate advising materials, program guides, and SharePoint resources; Support departmental recognition events, undergraduate research activities, and student engagement initiative

20% Advising and Student Support Coordination; Serve as a central resource for faculty advisors, graduate coordinators, and students regarding departmental academic procedures; Support the implementation of advising policies and best practices in collaboration with the department's advising team; Provide frontline support to students by answering routine questions related to program requirements, forms, and deadlines. Other duties as assigned.

Minimum Qualifications

Bachelor's degree with 3 years of experience.

Strong data management and reporting skills with proficiency in Microsoft Excel, Teams, and SharePoint.

Excellent organizational, communication, and problem-solving abilities.

Ability to work independently, manage multiple priorities, and maintain confidentiality.

Demonstrated commitment to student success and support of a variety of academic communities.

Preferred Qualifications

Master's degree.

Experience with university enterprise systems (e.g., Banner, Workday, PeopleSoft).

Familiarity with graduate admissions processes, funding mechanisms, and academic policy compliance.

Experience working in a large, research-intensive university setting.

Experience supporting accreditation or assessment report.
