ANTICIPATED HIRING RANGE: Starting salary upon appointment is not expected to exceed $5,540 per month

CSU CLASSIFICATION SALARY RANGE: $5,540 - $7,893

POSITION PURPOSE: Under general direction of the Associate Athletics Director for Academics, the Athletics Academic Advising Coordinator provides complex, independent academic advisement and guidance to NCAA Division I student-athletes and serves as the lead for academic support operations within the Kegley Center for Student Success.

The position provides lead direction to advising staff, coordinates advising operations, develops procedures and training to ensure compliance and consistency, and collaborates with campus and Athletics partners to implement initiatives that promote retention, eligibility, and timely graduation.

In addition, the incumbent independently advises student-athletes on multifaceted academic, eligibility, and progress-toward-degree matters requiring interpretation of University policy, NCAA Division I regulations, and conference rules. Advisement frequently involves sensitive or high-risk academic situations requiring the application of counseling techniques, sound judgment, and integrative problem-solving across academic departments and student support services.

DUTIES & RESPONSIBILITIES:

Kegley Center for Student Success Operations

  1. Serve as lead in the Advising Center, by providing daily direction to advising staff and students, training, coordinating caseloads and advising assignments, and participating in the recruitment, onboarding, and input of performance evaluations.
  2. Provide consultation to advising staff on complex or high-risk academic and eligibility cases; assist in developing integrative resolution strategies.
  3. Coordinate advising timelines aligned with recruitment, registration, certification, and competition cycles.
  4. Facilitate regular staff meetings focused on case review, regulatory updates, and continuous improvement.
  5. Develop, refine, and implement advising procedures, training materials, and compliance practices to ensure accurate interpretation of NCAA and campus regulations.
  6. Serve as liaison between Athletics Academic Advising and academic departments, certification, registrar, enrollment management, tutoring, and other campus offices to resolve complex student-athlete cases.
  7. Collaborate with Athletics leadership to implement initiatives that promote retention, academic achievement, and eligibility.
  8. Analyze advising trends and student performance indicators to identify emerging concerns and recommend improvements within the advising center.
  9. Plan and organize advising center events such as orientation, advising, academic programming, etc.
  10. Promote student empowerment and accountability in academic planning and goal setting.

Academic Advising

  1. Independently advise assigned student-athletes in individual and group settings regarding degree requirements, academic standing, NCAA Division I progress-toward-degree standards, conference rules, and institutional policies.
  2. Analyze complex academic records, transfer coursework, substitutions, and eligibility scenarios to develop individualized academic plans that ensure compliance and timely graduation.
  3. Interpret and apply University and NCAA regulations where precedents may not exist; develop integrative solutions involving academic departments, certification, registrar, and enrollment management.
  4. Advise student-athletes experiencing probation, disqualification risk, eligibility deficiencies, or personal/academic challenges; assist students in evaluating options, understanding consequences, and implementing corrective action plans.
  5. Provide communication to assigned student athletes through one-on-one appointments, daily electronic communications, phone calls, and academic advising sessions.
  6. Participate in orientation and other advising and student success events as assigned.
  7. Educate student-athletes about campus resources such as advising centers & processes, tutoring, student health and counseling, financial aid - and refer students as needed.
  8. Maintain student files, including Progress Towards Degree Charts, to accurately reflect advising session interactions and progress on or toward degree completion.
  9. Analyze and record data, participate in student success initiatives, and take on other projects in support of student advising and success as assigned.
  10. Effectively utilize CSUB systems of data, communication, and advising tools (e.g. Runner Connect, Arms, PeopleSoft, Microsoft Office, Box, etc.)

REQUIRED QUALIFICATIONS:

EDUCATION & EXPERIENCE - Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related and three (3) years of progressively responsible professional student services work. A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

SKILLS, KNOWLEDGE & ABILITIES (SKA's) -

  • Regular and reliable attendance is required.
  • Thorough knowledge of the principles of individual and group behavior. 
  • General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned.
  • General knowledge of individual counseling techniques.
  • General knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned. 
  • Working knowledge of student services programs outside the program to which immediately assigned.
  • Ability to advise students individually and in groups on complex studentrelated matters and determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature.
  • Ability to interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action.
  • Ability to carry out a variety of professionally complex assignments without detailed instructions.
  • Ability to review, analyze, interpret, communicate, and apply policy and standards including campus academic policies, NCAA Division I regulations, and conference policies.
  • Ability to provide analytical information/data to other offices, academic departments and agencies as needed.
  • Ability to effectively lead and provide direction to assigned staff and students.
  • Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.
  • Ability to analyze campus, NCAA, and conference policies, program proposals, and their indirect/direct impacts on the student-athlete population from a practical perspective and make recommendations as appropriate.
  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner.
  • Thorough knowledge of English grammar, spelling, and punctuation.
  • Ability to maintain a high degree of confidentiality.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
  • Working knowledge of or ability to quickly learn University infrastructure.
  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work occasional holidays and adjust working hours to meet special jobs.  May be called back periodically to perform work as needed on an emergency basis.

PREFERRED QUALIFICATIONS:

  • Master's Degree in a job-related field.
  • Professional experience working with student-athletes, education plans, and NCAA Division I academic rules and regulations.
  • Prior knowledge and use of PeopleSoft and OnBase or other student records database systems.
  • Experience with NCAA Arms/Teamworks software.
  • Demonstrated skills in an institutional/educational environment possessing a customer-oriented and service-centered attitude.

PHYSICAL DEMANDS: LIGHT WORK - involves mainly sitting, up to 25% standing or walking; lifting medium weight objects limited to 25 pounds.

SPECIAL CONDITIONS:
