Job description

JOB OVERVIEW: SAFETY ADMINISTRATOR ASSISTANT


The Safety Administrator is responsible for the administration, coordination, and continuous improvement of the companyโ€™s safety programs and compliance initiatives. This role partners closely with operations, field leadership, and management to ensure adherence to all applicable federal, state, and local safety regulations, with a strong focus on utility vegetation management operations.


The Safety Administrator plays a critical role in maintaining accurate safety records, analyzing trends, supporting incident investigations, and driving proactive safety initiatives that reinforce a culture of safety and accountability across the organization.


KEY RESPONSIBILITIES
  • Administer and maintain company safety programs, policies, and procedures in alignment with regulatory requirements and industry best practices
  • Ensure compliance with applicable regulations (e.g., OSHA, Cal/OSHA, DOT, and client-specific requirements where applicable)
  • Own and manage safety documentation, including incident reports, near misses, inspections, audits, and corrective actions
  • Conduct and/or coordinate regular safety audits, job site inspections, and compliance reviews; track and follow up on corrective actions
  • Lead or support incident and accident investigations, including root cause analysis and implementation of preventive measures
  • Analyze safety data and trends; prepare reports and dashboards for leadership to support decision-making
  • Coordinate and support safety training programs, including onboarding, refresher training, and compliance-based certifications
  • Partner with field leadership (e.g., General Forepersons, Supervisors) to reinforce safe work practices and address safety concerns
  • Maintain safety-related systems, databases, and tracking tools (e.g., LMS, incident tracking systems, compliance logs)
  • Assist with regulatory reporting requirements and documentation for internal and external audits
  • Support continuous improvement initiatives related to safety performance and risk reduction.


QUALIFICATIONS & REQUIREMENTS


  • High school diploma or equivalent required; Associateโ€™s or Bachelorโ€™s degree in Occupational Safety, Environmental Health, or related field preferred
  • 3+ years of experience in a safety-related role, preferably in utilities, vegetation management, construction, or a similar field environment
  • Working knowledge of OSHA and/or Cal/OSHA regulations and safety compliance standards
  • Experience with incident reporting, audits, and safety program administration
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with safety management systems or HRIS/LMS platforms preferred
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines
  • Excellent written and verbal communication skills
  • Ability to work both independently and collaboratively across departments


PREFERRED SKILLS
  • Bilingual (English/Spanish) preferred
  • Experience in utility vegetation management or tree care industry
  • Familiarity with client-driven safety requirements (e.g., utility contracts, CPUC compliance if applicable)
  • Knowledge of DOT regulations, fleet safety programs, or driver qualification files
  • Experience developing or facilitating safety training sessions
  • Strong analytical skills with the ability to interpret safety metrics and trends
  • Certifications such as OSHA 30, First Aid/CPR, or other safety-related credentials
