Job description

JOB SUMMARY:

The Scheduling Manager is responsible for overseeing and establishing the staff and resident schedules, orientation program and on-going educational programs for the Home Care Services associates.

Essential Duties and Responsibilities.

  • Prepare the schedule for the Home Care Services department by scheduling all Licensed Nurses and Care Partners in coordination with the resident schedule to assure 1:1 coverage for all services.
  • Monitors overtime closely with the goal of decreasing/ eliminating overtime.
  • Daily review of resident schedules, assuring all shifts have been completed and no services have been missed.
  • Daily review of previous days time clock punches with the staff schedules.
  • Facilitates and reconciles payroll reporting in coordination with payroll specialist.  
  • Plans, conducts and evaluates organized orientation and training programs for all newly hired associates which are scheduled on a regular basis.\
  • Assists in planning and coordination of annual skills proficiency checkoff and monthly training program calendar in collaboration with other department team members and organizational resources.
  • Assists in the planning and coordination of training programs for Home Care Services to respond to identified problem areas, service quality or to teach new procedures or methods.
  • Provide department specific orientation to direct care staff including completion of the clinical skills orientation check-list.
  • Monitors outcome of associate training sessions with regard to skills taught and session evaluations.
  • Develops, maintains and upgrades the standards for policies and procedures for staff development.
  • Makes routine rounds to assure proper care and a safe, clean resident environment.
  • Participate in conducting interviews for Home Care Service positions and communicate and coordinate with Human Resources regarding interviews and new hires.
  • Complete monthly supply inventory and weekly ordering of supplies.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill and/or ability required.

  • Experience as a scheduler preferably in the Home Care field.
  • Supervisory and/ or managerial experience in healthcare preferred.
  • Must have good multi-tasking skills, be detail oriented and be a team player.   
  • Ability to understand, follow and support established policies and procedures of the facility; ability to recognize emergency situations and respond appropriately; ability to plan, organize and prioritize assignments efficiently; ability to work effectively with minimum supervision; ability to adapt teaching to the situation and diversity of learners.
  • Must be able to possess the ability to deal tactfully with personnel, residents, family members, visitors, vendors, and the general public.
  • Must have problem solving skills. Must be able to make independent decisions concerning above job duties.
  • Computer literacy encouraged.  Strong interpersonal and communication skills.  Teaching  skills required.  Understanding and empathy of the uniqueness of the needs of the elderly required.
