What You’ll Do:
- Own the client intake process from initial inquiry through onboarding by gathering required information, tracking progress, and ensuring timely follow-up
- Serve as the primary point of contact for clients and prospective clients by managing communications, scheduling appointments, and coordinating attorney and firm-wide calendars
- Prepare client correspondence, process incoming court and client documents, maintain accurate client records, and coordinate next steps with internal team members
- Deliver an exceptional client experience by monitoring client satisfaction, resolving concerns, and supporting ethical and compliant operations through conflict-of-interest checks and related documentation
- Collaborate with attorneys and team members to assess workload, prioritize tasks, and allocate resources effectively across client matters and legal projects
- Develop and maintain detailed timelines to ensure deadlines, client priorities, and resource availability remain aligned
- Track progress on assignments and projects, monitor key milestones, and proactively identify and resolve bottlenecks to keep work on schedule
- Utilize Excel and other workflow management tools to organize tasks, manage deadlines, evaluate operational efficiency, and support continuous process improvement initiatives
What We’re Looking For:
- Bachelor's degree required and current Ohio Notary Public certification, or the ability to obtain Ohio Notary Public certification within 60 days of the start date
- Strong computer proficiency, including Microsoft Outlook, Word, Excel, and cloud-based systems
- Exceptional judgment and attention to detail, with the ability to assess urgency, evaluate client fit, and balance client needs with firm risk
- Excellent communication and interpersonal skills, with a demonstrated ability to build trust, show empathy, and communicate clearly and professionally
- Highly organized and adaptable, with strong time management, problem-solving abilities, and the ability to manage multiple priorities effectively
- Professional discretion, sound decision-making skills, and a commitment to delivering an outstanding client experience
