The American Lung Association has an excellent opportunity for an Associate, Nationwide Advocacy. Working as a member of the Advocacy and Public Policy department, you will join an outstanding group of professionals dedicated to our mission: to save lives by improving lung health and preventing lung disease through research, education, and advocacy.

The person in this role is responsible for maintaining smooth daily operations in the office including equipment, supplies, mail processing and data entry/management. Provides administrative and logistical support to Washington, DC office staff and Mission Team. Serve as a point of contact with donors, volunteers, and vendors; greet and direct all callers, visitors and guests to the office. Perform tasks related to mission activities including legislative and regulatory tracking, advocacy logistics and scheduling, and special projects.

Location: The position is located at the American Lung Association’s Washington, DC office and will have the option for virtual work one day per week.

Responsibilities:

Office Administration

  • Facilitate community representation and manage all daily operations for the Washington, DC office.
  • Demonstrate a ‘constituent first’ level of service by ensuring that requests for service and support (phone, email, etc.) are quickly addressed and/or routed to the staff most equipped to do so.
  • Serve as the first contact for incoming calls and direct the calls to the appropriate staff or resource.
  • Manage office equipment and serve as point of contact for landlord, building maintenance, office vendors and office equipment maintenance.
  • Compile and submit monthly copier reports.
  • Work with Washington, DC staff to ensure smooth office operations, including but not limited to bidding, updating contracts, and maintaining files for vendors, etc.
  • Review, sort and manage all incoming mail and direct to the appropriate person.
  • Maintain the appearance and flow of reception area.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Process payment of any office bills that need to be paid through the Association’s payment system.
  • Transmit mail donations, bequest notifications and other donation related mail to appropriate office.
  • Make necessary changes to constituent records in the various online platforms to support the constituent and staff needs related to development, marketing and mission related activities.
  • Generate reports through the various online platforms to retrieve data required for business management and operations.
  • Manage in person meeting logistics including building access, catering and orient daily office visitors/volunteers and serve as point of contact.
  • Assist Washington, DC and Mission Team staff with various administrative tasks as requested.

Mission Support

  • Support Mission and patient engagement activities by conducting outreach to existing or potential volunteers with personal experience with lung disease, tobacco, air pollution and other topics.
  • Provide project support for advocacy events, including setup and execution of logistics and volunteer engagement for lobby and advocacy days and fly-ins.
  • Provide project support for advocacy constituent engagement activities, such as sign-on letters and events registration.
  • Assist Mission staff as requested with scheduling meetings, preparing and sharing materials and preparing requests for Congressional offices.
  • Assist grassroots advocacy staff with creating e-advocacy alerts using the Phone2Action platform and monitor and report results.
  • Monitor and track activities on priority regulations and legislation.
  • Serve as member of project teams and provide project support for the Lung Association’s three signature reports.
  • Assist with policy research on lung health legislative and regulatory topics.
  • Assist with other initiatives as assigned.

Qualifications:

  • High School Diploma or equivalent required, Associate’s or Bachelor's degree preferred.
  • Two to three years of solid administrative assistant experience
  • Excellent communication skills, both written and verbal.
  • Excellent analytical and organizational skills.
  • Excellent people skills working as part of an internal team and with external volunteers.
  • Ability to organize and multi-task and pay strong attention to details.
  • Ability to prioritize, self-motivate and work independently for extended periods of time.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and experience using database systems.
  • Bi-lingual skills in English/Spanish a plus

Compensation: Exact compensation may vary based on skills, experience, and location. The target hiring range for this position is between $42,500 and $47,000 per annum.

Benefits: The Lung Association offers a comprehensive benefits package including:

  • Paid Leave - 10 vacation days in the first year (15 days thereafter), 2 personal days and 15 sick days per year, as well as 12 company-paid holidays per year. We also offer Paid Parental Leave for eligible employees.
