The Opportunity

We seek a self-directed, bright, service-oriented, and tech-savvy seasoned administrative professional who will provide full-time support to the engagement team members (management consultants). Duties include but are not limited to preparing travel schedules; arranging travel and accommodations; managing calendar and scheduling meetings; drafting correspondence; and project coordination. The ideal candidate will have executive presence and stature, representing JMW in client-facing environments virtually and over the telephone.

You will interact with employees, management, clients, and external stakeholders positively and professionally. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities.

Responsibilities will include but are not limited to:

  • Proactively look for ways to assist the engagement team members in meeting day-to-day client engagement needs and other projects.
  • Coordinate logistics engagement team programs including meetings, sessions, workshops, special projects, and events.
  • Assist with the creation and preparation of client team materials – slides, proposals, program materials, and engagement launch decks.
  • Review and proofread all documents, reports, and correspondence prepared for format, content, grammar, and spelling and make edits as necessary to ensure quality.
  • Create and/or edit high-quality reports, proposals, graphics, and presentations (PowerPoint and Word)
  • Manage and organize calendars/schedules for engagement team members.
  • Be a key resource for organizing, scheduling, and coordinating meetings (internal and client) including conference calls, videoconferences, and sales events (e.g., client work sessions)
  • Develop good client relationships via telephone and manage client requests (documents, research, resources)
  • Manage organization/structure of client databases, update entries, and implement systems for database maintenance.
  • Make travel arrangements and provide consolidated itineraries.
  • Miscellaneous administrative duties: mail, faxing, copying, phones, and filing
  • Maintain a flexible approach and attitude towards assisting others.
  • Strong organizational skills and ability to multitask.
  • Strong knowledge of internal/client contacts and resources
  • Knowledgeable of JMW-specific products and services
  • Maintain client files, databases, and records.

Technical Competencies/Skills Required:

Advanced knowledge of office software (Microsoft Word, Excel, PowerPoint, Outlook, Dropbox, Zoom, MS Teams)

Excellent written verbal and communication skills (e.g. writing skills, grammar, punctuation, spelling, proofing, editing, and writing)

Database savvy, Internet, and Research skills

Qualifications:

  • 10 years of administrative support, preferably in professional services
  • Experience working at the C-Suite Level
  • A college or university degree is not required but is considered an asset.
  • Exceptional attention to detail
  • Experience working in a remote environment.
  • **Competency test and/or results will be required
