Event Sales Coordinator

This is a hybrid role that allows for some work from home flexibility during the week. Applicants must be based in the San Diego area for this role and be able to commute to an office in San Diego.

Primary Responsibilities

The Sales Coordinator will be responsible for the administrative support to the Sales team and will assist managers with client proposals from initial point of sale through program contracting. Duties include relationship management support, proposal writing, program costing/budgeting, client sponsorship events, trade show/sales activity coordination, site inspection coordination, sales/marketing budget tracking, reporting, on site event coordination and oversight, and general office support.
  • Generate client proposals, budgets and cover letters as requested
  • Draft budgets in excel for all proposal components including events, teambuilding, etc.
  • Maintain accurate and updated service proposals
  • Call vendors to book reservations or place on hold when proposal is being written
  • Plan sales site inspections and coordinate all vendor details, costs, and site reconciliations
  • Coordinate client gifts and collateral for sites, planning visits, and program operations
  • Coordinate client follow up for Sales Managers Sales trips, trade shows, meetings
  • Assist annual rates/tariff presented to major clients
  • Maintain client information in Salesforce
  • Support National Sales Director in logistics for sales site inspections and key account FAMs.
  • Receive, review, and qualify all incoming new vendor information and pricing
  • Work with sales to develop new products to offer to clients - build into proposals
  • Remain current in local destination events, happenings, to trigger key communication opportunities to clients
  • Collaborate to contract suppliers, reconfirm, and manage on site during events
  • Work events on site as required

Qualifications
  • Minimum 1-3 years administrative experience
  • Strong administrative and organizational skills with aptitude for attention to detail
  • Experience in the hospitality industry in the sales or conference services arena
  • Exceptional written and verbal communication skills
  • Prior experience in writing proposals
  • Experience with budget development and management
  • Able to juggle tasks and set priorities on a daily, and weekly basis as needed
  • Prior experience in meeting client deadlines
  • Knowledge of region destination and venues
  • Preferred knowledge of office machines (copier, printer, etc.)


Salary: $66,000-70,000 plus additional incentive package.
