Reports to: CEO

Schedule of Hours: Monday Through Friday 8-4 and will include evening and weekend work as needed. This position is also on call 24/7 for emergency incident response.

Hybrid Status: 90% Onsite Work – some administrative tasks can be done remotely as agreed upon

ABOUT THE ORGANIZATION Community Overcoming Relationship Abuse (CORA), is the only agency in San Mateo County providing crisis intervention and supportive services to survivors of domestic violence and their children, seeks a Facilities Program Manager to oversee facilities-related items and safety concerns for three major sites in San Mateo County.

POSITION SUMMARY This position serves as the main point of contact for all facilities-related items and safety concerns for four CORA facility sites in San Mateo County. The Facility Program Manager oversees and performs routine repairs and preventative maintenance on building equipment and building systems efficiently and effectively as well as have oversight of contractors or vendor technicians. The position will also serve as the project manager for larger capital renovations.

PRIMARY RESPONSIBILITIES

• Point of contact for all facilities-related items for four sites (main building including 2211 and 2205, Lisa’s House, Coni’s House and East Palo Alto office - rented space). If CORA expands or condenses facilities, this position would incorporate these additions/ changes.

• Responsible for oversight and monitoring of budget for facilities expenses and for allocating costs to appropriate revenue sources, in partnership with supervisor.

• Management of facility related vendors and systems including but not limited to ordering equipment, supplies, alarm system and janitorial team.

• Responsible for Supervision of the Building Maintenance Specialist, a part-time employee assigned to facilities work. Involved in hiring, retention, supervision of work and performance evaluations of these individuals. Responsible, in partnership with the Volunteer Manager, for oversight of any volunteer activity assisting facilities.

• Source and vet vendors and other skilled technicians for any specialized work, review contracts, and make recommendations for approval and decision making.

• Identifies, operates and performs routine repairs and preventative maintenance on building equipment and building systems for three major sites efficiently and effectively.

• Responds to trouble-shooting calls and performs necessary repairs or adjustments as appropriate.

• Responsible for the warehouse security and operations, including donations acceptance and disposals.

• Responsible for updating the emergency response plan and performing all required fire drills and upkeep of fire extinguishers, for all properties and keeping the fire drill log updated as well as other safety-related procedures.

• Ensures facilities work orders are completed in a timely manner. In partnership with the Building Maintenance Specialist, directly completes work orders, performing minor repairs, moving furniture, painting, replacing light bulbs, setting up conference rooms for special events and other facilities duties.

• Responsible for the setup of equipment space for any CORA events held on CORA property or as part of a team for off-site events.

• Coordinates landscape and contractor work with outside vendors.

• Checks exterior lighting and report outages.

• Performs miscellaneous facilities duties as assigned.

KNOWLEDGE AND SKILLS REQUIRED

• Familiarity with community-based services in San Mateo County as well as county ordinances and permitting processes preferred

- 3-5 years of Facilities Management experience preferred

• Five years minimum experience in the following related skill levels: Painting, Minor electrical, landscape maintenance, and general handyman/carpentry

• 2-3 years of Project Management experience, negotiating contracts, and communicating to all levels of staff for execution desired

• Microsoft office suite experience including outlook emails and calendaring ideal but not required.

• High School Diploma or equivalent

• Completion of 40-hour domestic violence training within the first 6 months of employment.

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

• Background check, including fingerprinting clearance from the Department of Justice; Demonstrate eligibility to work in the United States.

• Valid CA driver’s license, access to reliable transportation, and insurance required. Willingness to travel to multiple sites within San Mateo County.

• Maintain the ability to satisfy all physical demands: significant lifting, carrying, pushing and/or pulling up to 50 pounds; frequent stooping, kneeling, crouching and/or crawling; reaching above shoulder level; fine finger dexterity.

• Ability to withstand a variety of indoor and outdoor environmental conditions, including working in heat, dust, and rain. Ability to withstand prolonged walking, stooping, bending, sitting, or walking within confined spaces.

Such a report, including sharing information with another employee who is a mandated reporter position without following "release of confidential information" policies is a breach of confidentiality is a violation of state and federal law and can result in disciplinary action, up to and including termination of employment.

Our programs include Crisis Intervention Services, including a 24-hour hotline, collaboration with law enforcement, emergency shelter options, and supportive counseling. Family Support Services provides mental health therapy, supportive/transitional housing, and a children’s program. CORA has robust legal services for survivors of domestic violence and provides educational workshops about the dynamics of domestic violence and healthy relationship skills.
