Job purpose


The Assistant Director helps to plan, organize, and administer programs and operations of the Office for Child and Youth Protection.


Duties and responsibilities


  • Assist director in development and implementation of agency policies and procedures.
  • Assist in creation of agency brochures and outreach materials.
  • Supervise the daily activities of all staff.
  • Facilitate weekly meetings for supervision and guidance.
  • Review all financial requests pertaining to victim expenditures and submit to director.
  • Conduct quarterly audits of the Victim Assistance Coordinator's files as well as the Accounts Payable/Accounts Receivable financial records.
  • Assist the Director in coordinating and supervising daily operations.
  • Provide orientation and training to all new employees.
  • Ensure compliance with established project completion time frames and adherence to agency policies.
  • Recruit and directly supervise volunteers, intern, and co-op students.
  • Assist with the interviewing and hiring of new staff.
  • Monitor and respond to general office e-mails.
  • Prepare reports for the Director for annual audits.
  • Assist in providing topical trainings about creating safe environments for the children entrusted into our care (Archdiocesan wide) as well as training for boundary policies and procedures and mandatory reporting policies within the Archdiocese.
  • Contribute ideas and suggestions to improve the office.
  • Successful completion of mandatory Safe Environment trainings as well as continuing education via trainings and seminars.
  • Represent the organization to the public in person, via phone or e-mail in a professional manner.
  • Other duties as assigned.



Qualifications


  • Education
    • Bachelor's degree is required.

  • Abilities
    • Travel within five counties of the Archdiocese may be required.
    • Position is contingent on successful completion of a criminal background check.
    • Successful completion of mandatory Safe Environment trainings.

  • Other characteristics such as personal characteristics
    • Working knowledge of and comfort with Catholic faith and parish life is required.

  • Experience
    • 2-5 years of experience in supervising staff.
    • Experience working within victim and child advocacy profession.
    • Experience supervising Case Managers.
    • Knowledge and experience providing trauma informed support.
    • Strong oral and written communication skills and strong interpersonal skills are critical.
    • Proficient in Microsoft Office Suite, especially Excel.
    • Must have excellent time management and communication skills.

Working conditions


This position is expected to be carried out Monday-Friday, 9:00 a.m. to 5:00 p.m. May require working on evenings and weekends.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tool or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 30lbs.
