Position Overview
The Executive Assistant is responsible for full administrative support of a highly responsible and confidential nature to multiple executives by providing daily office oversight and support. The Executive Assistant provides and leads support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

The Executive Assistant reports to the Chief Operations Officer while supporting the Chief Compliance Officer, Chief Financial Officer as well as Chief Operations Officer.
Classification: Non-Exempt
Primary Responsibilities
Four or more years of experience in an administrative role reporting directly to upper management.
Bachelors degree preferred.
Excellent written and verbal communication skills
Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
Proficiency with office productivity tools and an aptitude for learning new software and systems.
Flexible team player, willing to adapt to changes and unafraid of challenges.
Ability to maintain confidentiality of information related to the company and its employees.

Primary Responsibilities
- Manage professional and personal scheduling for C-level, including agendas, mail, email, phone calls, client management, and other company logistics.
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
- Arrange travel and accommodations for executives. Prepare expense reports.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with. Manage emails and distribute as needed.
- Provide administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system and contacts database.
- Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company.
- Organize team communications and plan events, both internal and off-site
- Other duties as assigned.
