About the role:
Position Overview:
The Medical Receptionist Lead plays a pivotal role in overseeing the daily operations of the medical front office, ensuring tasks are executed accurately, efficiently, and with utmost confidentiality. This position entails coordinating staff, supervising patient flow, maintaining office functionality, and facilitating vendor services to uphold the front office's effectiveness.
Job Responsibilities:
- Staff Coordination and Training:
- Coordinate and assist with staff cross-training in phone answering, patient reception, and medical record scanning.
- Maintain staff scheduling to ensure appropriate coverage during operating hours.
- Meeting Coordination and Workflow Management:
- Participate in developing regularly scheduled staff meetings and agendas to address current business needs.
- Coordinate front office workflow to maximize quality and productivity.
- Privacy and Safety Assurance:
- Ensure privacy, confidentiality, and safety of patients and staff in all front office operations.
- Billing Support and Supplies Management:
- Work with the billing department to provide staff with up-to-date information on insurance, collections, policies, and procedures.
- Monitor and order all necessary office supplies and equipment to maintain adequate inventory.
- Complaint Resolution and Quality Assurance:
- Investigate, document, and promptly resolve patient complaints.
- Regularly audit staff work to ensure adherence to best practices.
- Facility Maintenance and Vendor Coordination:
- Audit cleanliness of office spaces weekly, including exam rooms, waiting areas, common spaces, break room, and bathrooms.
- Interface with cleaning services and other vendors to ensure completeness, accuracy, and timeliness of services.
- Collaboration and Liaison:
- Collaborate with Vanguard personnel to share knowledge of best practices across the organization and act as a resource for peers.
- Act as a liaison between clerical, clinical, and administrative staff, updating clerical staff on policy and procedural changes as needed.
- Team Support and Computer Competence:
- Act as a team player to ensure quality services are consistently provided.
- Maintain competence in computer and software systems, including practice management and EHR systems.
- Other Duties and Support:
- Perform other duties as assigned by Vanguard Medical Group to support medical practice operations.
Requirements:
- High school diploma or graduation equivalency degree (GED).
- 2+ Years of progressive experience.
- Prior experience in a medical receptionist or phone-based customer service role, especially in a healthcare setting.
- Proficiency in using electronic medical records (EMR) systems and phone systems.
- Basic computer skills, including Word and Excel.
- Athena experience a major plus.
- Strong verbal communication skills and active listening abilities.
- Exceptional phone etiquette and empathy when interacting with patients.
- Strong organizational skills and the ability to manage multiple phone calls simultaneously.
- Knowledge of medical terminology and insurance verification processes is advantageous.
- Medical Billing experience preferred.
