INSTITUTE OVERVIEW

HudsonAlpha Institute for Biotechnology is a nonprofit 501(c)3 research institute dedicated to innovation in the field of genomic technology and sciences. Founded in 2008, its mission is four-fold: sparking scientific discoveries that can impact human health and well-being; bringing genomic medicine into clinical care; fostering life sciences entrepreneurship and business growth; and encouraging the creation of a genomics-literate workforce and society. The HudsonAlpha biotechnology campus consists of 152 acres nestled within Cummings Research Park, the nation's second largest research park. Designed to be a hothouse of biotech economic development, HudsonAlpha's state-of-the-art facilities co-locate nonprofit scientific researchers with entrepreneurs and educators. The relationships formed on the HudsonAlpha campus encourage collaborations that produce advances in medicine and agriculture. This position is an exciting opportunity to strengthen the institutional Human Resource capacity of HudsonAlpha in order to better attract, recruit, develop and retain highly qualified students and professionals.


DEPARTMENT OVERVIEW

Advancement is responsible for all aspects of fundraising for the Institute's missions, inclusive of major gifts, annual giving, special events, planned giving, workplace giving, stewardship, and community relations. The Department develops legacy-level opportunities to attract large donors (naming, building, scholarships, etc.) and supports fundraising for the HudsonAlpha Institute Foundation, designed to augment other funding sources.


POSITION SUMMARY

This position provides administrative and database support to the Advancement team and support of Advancement activities and events prior to and during all events. The Database Associate works closely with members of the Advancement team to support all Advancement team events and campaigns. This position handles confidential information, runs a variety of donor/event based reports, keeps files and records current, provides general office support, and handles special projects as needed. This position works internally with various departments to ensure that information and data is shared and processed correctly.


JOB SPECIFIC TASKS

  • Generate accurate financial and analytical reports, develop and implement policies to guide gift entry, and ensure the database effectively captures donor gift information
  • Collect daily donations and record gifts and pledges into the database
  • Run periodic reports on gift activity, weekly gift and campaign reports
  • Assist with monthly reconciliation of gift income with the Accounting department
  • Track outstanding pledges and produce pledge reminders and send out to donors
  • Submit and distribute various report requests to Advancement team
  • Provide donor lists for events, stewardship purposes, and donor requests and build custom reports as needed
  • Maintains foundation, corporation and individual donor files and maintain the integrity of the donor base
  • Edit donor letters, collect solicitor signatures, prepare and send acknowledgment letter mailings
  • Work with Foundation Relations Manager in tracking and reporting progress on grant proposals and applications
  • Event Support:
    • Maintain guest lists, gather and prepare and process online registration and donations
    • Assist with name tags and event set up/take down
    • Assist with seating arrangements for major events
    • Work with Communications liaison to create event segmentation lists
  • Maintain all data related to advancement events, fundraising initiatives and affinity groups
  • Collect and maintain information for corporate gift matching and related foundations
  • Complete Salesforce trailheads and certifications
  • Other duties as assigned

EDUCATION AND REQUIRED SKILLS EXPERIENCE

Education and Experience:

  • High School or equivalent, bachelor's degree preferred.
  • 2 years of related experience, preferred

Required Skills:

  • Proficient computer applications and SalesForce experience preferred
  • Experience using databases and running/managing reports
  • Excellent verbal and written communication skills
  • Attention to detail, establishing priorities and meeting deadlines
  • Must be organized and have the ability to work with independence
  • Able to collaborate across different departments
  • Must have knowledge of office administrative procedures, and the ability to operate standard office equipment
  • Must have the ability to maintain confidentiality and professionalism.

Physical Demands

  • Must be able to remain in a stationary position (sit or stand) for prolonged periods (50% of the time).

  • Perform work in an indoor office environment with controlled temperature.
