InSync Consulting is seeking to fill an Office Administrator position with one of our clients located in Sacramento, CA. This position is a hybrid remote work from home and in the office position. The ideal candidate will be located in the greater Sacramento area. Our client makes the healthcare system work better for everyone. We are seeking a talented individual for an Administrative Assistant Project Specialist who provides advanced, diversified and confidential administrative support to the local Business Unit Heads. Requires broad and comprehensive experience, skill and knowledge of business operations, organizational policies, practices and procedures. Duties include project support, analysis, research, correspondence, and meeting and travel coordination.

Knowledge and/or experience with Medi-Cal billing a plus

Essential Responsibilities:

  • Helps to provide project support for executive level projects and initiatives to include research, analysis, problem solving, and presentation creation.
  • Interacts and collaborates regularly with the Executive and senior leadership team to plan, coordinate, and review materials related to business administration.
  • Collects and analyzes information and uses critical thinking skills to troubleshoot issues in support of assigned executive level projects.
  • Effectively communicates relevant project information to stakeholders.
  • Strong ability to work from both auditory and written instructions.
  • Resolves and/or escalates issues in a timely fashion.
  • Develops new processes/procedures and identifies improvements in existing processes/procedures.
  • Maintains multiple calendars, schedules meetings and resolves calendar conflicts for team members.
  • Books extensive travel for team members; creates and submits expense reports.
  • Collaborates with the team as needed on coordination of meetings, data requests, etc.
  • Handles telephone calls, messages, correspondence, diplomatically, efficiently and effectively.

Qualifications:

Knowledge, Skills and Abilities:

  • Ability to be careful and thorough about detail.
  • Ability to analyze information and use logic and process to address work-related issues and problems.
  • Ability to plan, organize, and carry out assignments from management with minimal direction.
  • Ability to organize and prioritize a variety of projects and multiple tasks in an effective manner, organize own work, set priorities, and meet critical time deadlines.
  • Ability to work independently and within a team on both nonrecurring and ongoing projects.
  • Ability to work proficiently with Microsoft Excel, Word, Access, PowerPoint and company databases.
  • Shows tact, discretion, confidentiality and good judgment in handing sensitive and confidential matters and documentation.
  • Average manual dexterity in use of a PC, phone, sorting, filing and other office machines.
  • Ability to sit and work at a computer for an extended period of time.
  • Positive work attitude thinks well on his or her feet and takes ownership of projects and their results.
  • Resourceful and able to work well with a variety of personalities while remaining personable and helpful.
  • Available for overtime as business demands dictate.

Work Conditions and Physical Demands:

  • Primarily sedentary work in a general office environment
  • Ability to communicate and exchange information
  • Ability to comprehend and interpret documents and data
  • Requires occasional standing, walking, lifting, and moving objects (up to 10 lbs.)
  • Requires manual dexterity to use computer, telephone and peripherals
  • May be required to work extended hours for special business needs
  • May be required to travel at least 10% of time based on business needs

Minimum Education:

  • Associate’s degree or equivalent work experience required
  • Bachelor’s degree preferred

Minimum Related Work Experience:

  • 3+ years working as an administrative assistant supporting an Executive or Business Unit Head.
  • Experience with project support, and process management.
  • Experience interacting professionally, and with confidence, with Executives and officers.
  • Advanced skills with all Microsoft office suite products.
