Job Description

The Surgery Scheduler is responsible for organizing medical information, coordinating with physicians, healthcare facilities and medical supply representatives to ensure, organize and maintain an accurate surgery schedule. The surgery scheduler serves as a liaison between the patient, the physician's office and the hospital throughout the scheduling process. They are responsible for communicating with patients and their families to ensure that they are well informed and prepared for surgery. The surgery scheduler is responsible for verifying insurance eligibility and securing authorization when needed. This position requires knowledge of medical terminology, a strong understanding of various insurances, and an understanding of Federal regulations.


Duties/Responsibilities

  • Accurately schedule patients for surgery.
  • Coordinates equipment and instrumentation with outside representative for scheduled surgeries. Ability to negotiate procedure times with physicians, office staff, patients and specific departments. Notifies all necessary parties when changes must take place.
  • Ensures accurate coordination of authorizations prior to scheduled procedures.
  • Verifies insurance eligibility; coordinates and collaborates interdepartmental service referrals based on type of procedure patient requires.
  • Manages surgery schedule and keeps calendars up to date.
  • Organizes, reschedules and updates changes made to schedules, may need to provide follow up calls to patients and provide rescheduled dates/times.
  • Schedule appropriate medical and cardiac clearance testing.
  • Coordinates and schedules surgeries and pre/post-op appointments as designated by physician.
  • Coordinates processes and routes all paperwork as required to meet physician and facility requirements. Ensure patient confidentiality adhereing to HIPAA guidelines.
  • Other duties as assigned


Qualifications:

  • High School graduate or equivalent required.
  • One (1) + year surgical scheduling experience preferred.
  • Excellent verbal and written communication skills as well as interpersonal skills required.
  • Demonstrated ability to handle multiple tasks with short timelines prioritize and organize work, and complete assignments in a timely and accurate manner.
  • Exceptional ability to interact and communicate effectively, tactfully and diplomatically with patients, families, medical staff, co-workers, employers and insurance company representatives.
  • Must have pleasant disposition, positive attitude and posses the ability to maintain a cordial and professional approach during periods of stress.
  • Skill in using office equipment; basic computer skills, photocopier, telephone, fax machine and calculator. Demonstrated ability to think and act decisively in a timely manner.
  • Ability to maintain operational knowledge of all insurance requirements necessary to achieve optimal reimbursement.
  • Orthopedic Medical Terminology experience; preferred Prior experience working in Epic EMR; preferred.


Physical Requirements

This position requires a full range of body motion. While performing the duties of this job, the employee is regularly required to sit, walk, and stand; talk or hear, both in person and by telephone; use hands repetitively to handle or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.

Work Environment

Work is performed in a typical medical clinic and/or business office environment. Work in a clinical setting has the potential for exposure to blood and bodily fluids, and infectious pathogens. Must be able to use protective equipment as required.
