JOB DESCRIPTION

Position Title: Retail Coordinator

Hours: Part-time, requires occasional weekends

Supervisor: Adoptions Manager

Classification: Non-exempt, Hourly


SUMMARY

The Retail Coordinator is responsible for sales and marketing of HSHV’s “Paws to Shop” store. This includes both the bricks-and-mortar store, Tiny Lions Cat Café location, as well as online avenues, and is achieved through continual stocking, inventorying and monitoring; smart purchasing; creative display; volunteer engagement where it makes sense; internal sales; and incredible customer service.



REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

This position requires experience in retail management or similar. Candidate must be a self-starter with a “fire in their belly” for sales. It requires a unique blend of someone who can analyze data, think creatively to solve problems, dig in while staying organized, and be able to work independently as well as collaboratively with staff and volunteers.

An animal care facility can be an emotionally challenging, high-stress, rapidly changing, and high-demand environment. Feelings of grief and loss, secondary trauma, and compassion fatigue are not uncommon. As such, working at HSHV requires a high degree of emotional regulation and resilience; the ability to tolerate and manage stress; adaptability to change; empathy for both animals and people; and an overall positive outlook.


DUTIES AND RESPONSIBILITIES

  1. Meet or exceed revenue goals, reviewing data as necessary. Research, suggest and implement methods to increase sales and/or decrease expenses while keeping items market competitive, mission-based and revenue-focused.
  2. Manage physical, day-to-day inventory of all retail items, including non-prescription pet care and enrichment products, books, and magazines, HSHV apparel and other branded products. Inventory management consists of physical stocking, responsible ordering, tracking, marketing, presenting, displaying, and managing items, as well as appropriate data entry in our software systems.
  3. Develop, negotiate, and manage the accounts and systems for purchasing from outside retailers, working with the business office to manage purchase orders, invoices, and ensure proper expense management.
  4. Maintain in-store retail presence, including but not limited to:
    1. Regularly refresh and rotate merchandise for maximum sales;
    2. Liaise with clinic and adoptions/FOH front desk staff to deliver the best customer service, coordinate sales efforts and to educate on proper procedures for sales, exchanges and refunds.
  5. Expand and maintain retail website(s), including but not limited to:
    1. Regularly update product listings, promotions, and other retail website content;
    2. Manage fulfillment of online orders, including efficient order filling, cost effective shipping of products, and methods for returns and exchanges;
    3. Fulfill customer service for all online retail customers; including phone calls, emails, exchanges and refunds, and other customer service needs that arise;
    4. Work with third party software support for questions and maintenance of site as needed.
  6. Expand and maintain retail offerings at Tiny Lions Cat Café
    1. Order retail stock for Tiny Lions Cat Café
    2. Set prices and manage inventory in the retail inventory system
    3. Coordinate product delivery and displays with Tiny Lions Cat Café Staff
    4. Occasionally work on-site at Tiny Lions Cat Café to manage retail display
  7. Develop and implement in-store and online display and marketing strategies, working with marketing department as needed for branding and material production.
  8. Keep up-to-date on best practices concerning safe and humane pet products to be sold at any HSHV online or physical location. Regularly poll staff and customers to consider what items we should carry or discontinue.
  9. Make efficient use of volunteers as appropriate (e.g., for retail-related administrative tasks) in order to achieve goals and make most efficient use of time.
  10. Assist in maintaining the flow of donated goods coming in through the shelter that may be used for the retail department.
  11. Develop SOPs and manage processes for retail systems.

GENERAL

  1. Be an effective liaison to the community, positively promoting HSHV’s mission, goals, and philosophies.
  2. Attend agency staff meetings. Read email on a daily basis, and respond as appropriate.
  3. Keep informed of and abide by agency policies and procedures.
  4. Follow budgetary guidelines as set out.
  5. Other duties as assigned.

PHYSICAL DEMANDS

While performing this job, you will be required to continually walk, stand, squat, twist, and kneel, reach and grab with your hands and arms, in addition to being able to lift and move products and materials weighing up to 50 lbs. This position requires the ability to speak normally and to use normal or aided vision and hearing, and use a telephone, and computer monitor, mouse and keyboard. Work is subject to frequent interruptions. You will be exposed to disinfectant solutions in cleaning. You will be consistently exposed to animals and animal allergens, including animal hair, dander, saliva, fecal matter, urine, zoonotic diseases, fleas and other mites or bugs.

While performing this job, you will be regularly required to use written and oral communication skills; observe and interpret situations; analyze and solve problems; assemble, calculate and interpret data; learn and apply new information and skills; perform repetitive work on multiple, concurrent tasks; fulfill intensive deadlines; and interact with staff, the public, volunteers and others encountered in the course of work.
