Description

Chief Buildings is seeking a Human Resources Assistant to join the Chief team. This position will serve as administrative support to the Human Resources Department and various departments of Chief Buildings. In addition to assistant duties for the HR department, the HR Assistant will cover the reception desk and serve as first point of contact for all visitors and vendors of Chief Buildings. This position will deal with sensitive employee information, and therefore requires confidentiality and discretion.

Job Responsibilities:
  • Support internal hiring and recruitment processes practiced by Chief Buildings and promote and explain these programs to potential applicants.
  • Serve as the front desk point of contact for Chief Buildings. This includes greeting visitors and vendors, helping with their requests, or directing them to the appropriate individual. Answer phone calls and provide information to callers, route calls to the appropriate persons, or take detailed messages.
  • Serve as initial point of contact for facility service vendors and maintenance providers, and work with the Administrative Manager to address non-routine inquiries.
  • Assist the Administrative Manager with coordinating employee engagement events, including scheduling, communication, event promotion, set up, clean up, follow-up, etc.
  • Prepare and distribute mail in a timely manner and complete daily mail runs. This includes coordinating shipments via US Mail, FedEx, and UPS and operating their online user portals.
  • Assist the Administrative Manager to disperse and collect sensitive documentation related to benefit offerings. Exercise discretion and confidentiality when collecting and entering all sensitive data.
  • Operate basic office equipment and maintain items such as computer, copy machine, phone system, and scanner. Assist employees in the operation of such equipment and schedule professional maintenance as needed.
  • Schedule meetings and serve as point of contact for Conference Room reservations and requests. This includes booking conference rooms, maintaining an understanding of our conference room technology, and assisting meeting organizers with room set up and technology needs.

Qualifications and Skill Requirements:
  • 1 - 3 years Administrative or HR Experience.
  • Experience using basic office equipment such as computers, multi-line phone system, scanner, and copy machine required.
  • Proficiency in Microsoft Excel required. Experience using full Microsoft Office 365 Suite or comparable program preferred.
  • Associate level degree preferred.
