SUMMARY OF THE JOB:
The Regulatory Compliance Specialist is responsible for the evaluation and management of regulatory reporting and compliance for both campuses. The specialist identifies required actions for Hallmark University with associated regulatory agencies and is responsible for the oversight, coordination, and project management of accreditation and new program submissions.
 
ESSENTIAL FUNCTIONS:
  • Oversee regulatory compliance operations for Hallmark University.
  • Regulatory reporting and compliance— identifies required actions with regulatory agencies to include ACCSC, THECB, TWC, FAA, DoE, DoD, SEVP, VA, NC-SARA, and SACS. Manage, gather, and interpret data for annual reports for ACCSC, THECB, NC-SARA, SEVP and SACS.
  • Prepare periodic reports for regulatory agencies as needed.
  • Monitor compliance with education regulations and respond to compliance inquiries.
  • Interpret existing and new state and federal regulatory requirements and their impact on Hallmark University as needed.
  • Manage site visits by regulators (ACCSC, SACS, SEVP, etc.).
  • Coordinate preparation of required documentation; collaborate with teams across the organization to gather necessary information.
  • Work with HR and Department Chairs regarding educational regulatory paperwork for hiring of new instructors. 
  • Gather, track, and house faculty certification forms and official transcripts. 
  • Ensure compliance of faculty with academic and experience requirements for teaching. 
  • Track and house faculty instructional certification for the Education Department. 
  • Work with the Director of Instructional Design and Academic Leadership to gather, track, and house annual faculty development forms. 
  • Gather, track, and house ACCSC Faculty Personnel Reports, and in-service meetings.
  • Track meetings and house program advisory committee minutes. 
  • Update catalog, addendum, and enrollment agreements for Hallmark University.
  • Coordinate regulatory paperwork with various departments.
  • Gather/track/house new Admission Representative’s Certifications and Professional Code of Conduct forms for ACCSC (Main/Satellite Campus).
  • Work with the Admissions Director, Admissions Department, to keep Admission forms up to date on a regular basis.
  • Implements or recommends measures to maintain compliance in any area of Hallmark University.
 
OTHER FUNCTIONS:
  • Backup other corporate services as needed.
  • Attend faculty meetings and departmental meetings as needed.
  • Continue to work closely and cooperatively with all departments to remain in compliance.
  • Perform related duties as required.

  • Working knowledge of regulatory services/agencies: laws, regulations, and regulatory processes.

  • Skill in researching and selecting solutions.
  • Skill in keeping current on new developments and procedures to maximize operational efficiency and meet regulatory requirements.

  • Ability to plan and manage workload and activities to complete tasks in accordance with priorities, demands and deadlines.
  • Ability to plan and organize tasks and working environment to maximize efficiency.

  • Willingness to assist others and cross-train in positions, if needed.
 
PROFESSIONAL/PUBLIC ACTIVITES: 
  • Continued Education, Certifications, Knowledge Base enhanced training and skill sets.
  • Must participate in the Hallmark Character program.
 
QUALIFICATIONS AND EXPERIENCE:
PREFERRED: 
  • 3+ years of experience with higher education.
  • 3+ years of experience with regulations from ACCSC, THECB, TWC, FAA., SACS, etc.
 
REQUIRED:
  • Bachelor’s degree from an accredited college or university.
  • Three years of experience interpreting and managing compliance with complex regulations.
  • As a condition of employment, pass the following:  reference checks, drug screen and background checks.
  • Any equivalent combination of training and experience that provides evidence that the applicant possesses the necessary traits and can perform the essential required tasks noted above.
