Job Description

The Rehabilitation Hospital of Indiana (RHI), named Best Rehabilitation Hospital in Indiana in 2022 and 2023, provides quality rehabilitation services to those facing life-changing injuries or illness. We specialize in the areas of brain injury, stroke, spinal cord injury and complex medical conditions. RHI is the only Traumatic Brain Injury (TBI) Model System in the state of Indiana and one of only 16 in the U.S. Our campus on the west side of Indianapolis specializes in inpatient and outpatient evidence-based, patient-centered therapy for ages 15 and older. We are excited to announce an opening for the Administrative Assistant position at The Rehabilitation Hospital of Indiana. The Human Resources Administrative Assistant is responsible for providing support to human resources and the Chief Legal Officer. Duties include: assisting in onboarding of new staff, conducting general employee orientations, assist in maintaining all personnel records and files, assist employees with employee benefits and retirement program enrollment, responding to insurance and unemployment compensation correspondence, employment verifications and assist in organizing all employee engagement activities, and providing administrative support.


  • Phone etiquette and answering all incoming Human Resources calls.
  • Responding to employee's queries in a timely and professional manner.
  • Data entry and managements of employee incidents and workman's compensation claims.
  • Prepare personnel files and maintain personnel records in accordance to facility and corporate personnel policies and guidelines.
  • Assists with staffing function by performing duties such as employment/termination processing.
  • Establishes terminated employee file upon termination consistent with department procedures.
  • Prepares reports for Human Resources department as requested.
  • Audit personnel files, ensuring all information is current and accurate.
  • Maintains and updates record-keeping systems including verification of professional licenses and certifications including CPR and other certifications.
  • Maintain confidentiality of facility employees and patient information.
  • Maintain records in PeopleSoft.
  • Completes post offer HR functions including employment, education and license verification, plus criminal/background history, OIG and social security checks.
  • Enters information into appropriate computer systems; sends appropriate documentation to Payroll, employee and contractor files maintained in Human Resources.
  • Provides support to all Human Resources staff. This includes but is not limited to: typing correspondence, memorandums, reports of a general and confidential nature ensuring accuracy and timely preparation, scheduling meetings, prepare required reports, maintaining databases, distribution of mail/faxes, process faxes as requested, new hire packages and oversees monthly onboarding classes.
  • Employee is focused on providing customer satisfaction (including but not limited to, patients, co-workers, visitors, vendors and physicians) as a primary goal/outcome of all interactions; places customers first in the performance of job duties and responds to needs in a timely manner as evidenced by the absence of legitime customer complaints.
  • Serves as a member of the Employee Engagement Committee and assists as needed with other committees and activities.
  • Reviews HR policies and procedures and updates HR Forms as directed.
  • Participated in performance improvement program evaluation activities and observes measures to ensure Hospital Joint Commission, CARF and other quality standards are regulations are met.
  • Other duties as assigned.

Your Experience Matters What we're looking for:


  • Experience & Education: A minimum of two (2) years' clerical, administrative assistant experience in hospital business office and/or human resources, preferably in a health care setting; or any combination of education, training or experience in a hospital business office. Good understanding of basic human resources hiring practices.

HOURS:


  • This is an in-person Monday-Friday 7:30 AM to 4:30 PM position.
