About the Opportunity

Join our team as an embedded Executive Administrative Specialist, supporting a philanthropic team that provides technological solutions for positive social impact. This pivotal role supports our client's leadership team and VP, facilitating their goal to connect non-profits with technology to increase the reach and influence of these partner NPOs. Positioned within a global team and adhering to flexible hours to accommodate various time zones, this position is ideal for a seasoned professional with a profound administrative background, especially in coordinating complex schedules, managing travel arrangements, and overseeing project logistics. This role not only offers the chance to contribute to meaningful projects but also provides exposure to diverse leadership teams and the opportunity to leverage our Redmond-based client's resources for social good.

Responsibilities

  • Provide comprehensive support to the leadership team (LT) and VP, managing complex scheduling and day-to-day operational needs with efficiency and discretion.
  • Coordinate all aspects of travel arrangements, including flights, lodging, and local transport, ensuring seamless and efficient travel plans for team members.
  • Organize and facilitate internal and external meetings and events, managing logistics such as venue selection, catering, and technology setup.
  • Oversee the procurement process for goods and services, including office supplies, computer equipment, and vendor management, ensuring cost-effectiveness and timely delivery.
  • Act as the department's primary point of contact, adeptly handling inquiries, communications, and coordination with internal teams and external business partners.
  • Manage expense reports, budget tracking, and financial reporting to support the department's financial operations and maintain accuracy and compliance with organizational policies.
  • Contribute to special projects with a strategic impact, demonstrating project management skills and the ability to deliver results under tight deadlines.

Requirements

  • At least five (5) years of proven experience in an executive administrative support role, with a strong preference for candidates working within a technology-focused organization or supporting high-level executives.
  • Exceptional organizational skills, with a track record of managing complex schedules, coordinating travel and events, and juggling multiple priorities and projects simultaneously.
  • Excellent communication skills, both written and verbal, with the confidence to interact effectively with all levels of management, staff, and external partners.
  • Ability to work independently and with discretion, showing initiative in problem-solving and decision-making within a fast-paced and dynamic environment.
  • Flexibility to accommodate a hybrid work environment (this team tends to work collaboratively together onsite Tue-Thur in Redmond, WA, and would expect this role to follow suit).
  • Openness to flexible working hours to accommodate global interactions when required.

Preferred Qualifications

  • Demonstrated proficiency in Microsoft Office tools and familiarity with other Microsoft technologies.
  • Strong analytical skills and attention to detail, ensuring accuracy in expense reporting, procurement, and financial operations.
  • Outstanding interpersonal skills, customer-obsessed, driven to succeed, patient, humorous, resourceful, and a personality and attitude that partners and collaborates well with others.
