JOB DESCRIPTION

Summary

The Events Coordinator will assist the Events Team in the execution of all aspects of event coordination from inception to recap including member retention events, climbing competitions, and other community events/parties.

Primary and Essential Functions

  • Coordinate events for the gyms. This includes community building events, climbing competitions, fundraisers, etc.;
  • Schedule and attend meetings as needed with Programming, Route Setting, Marketing, GMs, etc. to discuss upcoming events and departmental collaboration needs;
  • Communicate with Front Desk Staff on event details and delegate Front desk responsibilities during events (i.e. registering members, check-in, cleaning tasks, set-up assistance, etc.)
  • Coordinate catering, food and beverage needs for events;
  • Assist Events Team in maintenance of event planning process including event proposals, goal setting, detailed timelines, basic marketing and social media help, run of show, registration tracking and reporting, and comprehensive debriefs/impact reports;
  • Conduct research in the community and provide creative insight into the creation of new events or the improvement of existing events;
  • Assist in management of staff and volunteers leading up to events, during events, and immediately after events;
  • Fill out and submit DABC permit applications and insurance applications necessary for the event;
  • Physically attend every major event and other assigned events from setup through take-down;
  • Organize and clearly communicate event details to all individuals involved with an event including but not limited to caterers, DJs, volunteers, employees, and participants as assigned by Events Team;
  • Participate in local and climbing industry events representing and promoting the company, as assigned by Director of Community Impact and/or Event Manager;
  • Work closely with the Event Manager and Director of Community Impact to implement improvements in the department, including developing SOPs and systems contributing to the organization of event planning.

  • Ability to obtain Sips and Tips certification;
  • Proficient knowledge of Microsoft Office applications and applicable project management tools;
  • Other duties as assigned.

Job Hazards

This position is exposed to airborne chalk, dust and cleaning supplies. And may be exposed to objects falling from great heights when in climbing areas. Other hazards include trips and falls caused by obstacles on the ground such as ropes and climbing gear and slippery surfaces after they have been cleaned.
