FINANCE MANAGER, PURPOSE BUILT SCHOOLS ATLANTA

Purpose Built Schools Atlanta (PBSA) is seeking a Finance Manager. The Finance Manager will be responsible for accounts payable, purchasing and vendor relationships, federal funding and compliance, reporting and budgeting, payroll processing, and strategic support. The Finance Manager will play a critical role in assisting the Controller with the financial operations for each school.

KEY RESPONSIBILITIES

Accounts Payable:
  • Review, approve and ensure accurate account allocation of all school accounts payable activity in a timely and accurate manner, including credit card charges.
  • Confirm that invoices have proper approval and supporting documents (contracts, purchase orders, receiving records, W-9s) before approving the invoice in the accounts payable system.
  • Perform daily accounting processes to include journal entries, account reconciliation, and general ledger transactions.
  • Maintain financial record-keeping and ensure all financial documents are securely stored and archived.
Purchasing and Internal/External Relationship Management:
  • Manage the purchasing and vendor procurement process for all schools.
  • Maintain the school’s purchasing management systems, reconcile purchase orders, and facilitate training and communication updates.
  • Maintain appropriate records of purchase orders, receiving records, credit card receipts, and other documentation as outlined in financial policies and procedures.
  • Maintain positive relationships with internal and external stakeholders by researching and responding to inquiries in a timely manner.
  • Troubleshoot any internal/external issues as it pertains to the school’s purchasing management systems.
Month-End Close:
  • Prepare and/or review monthly, quarterly, and annual reconciliation of all accounts.
  • Ensure timely account reconciliations, including accounts receivable and payable, are current and accurate.
  • Reconcile monthly bank and credit card statements ensuring that receipts and all other supporting documents are obtained.
  • Reconcile and balance intercompany accounts and transactions.
  • Support asset management, including accounting for all purchased equipment.
Federal, State and Local Grants:
  • Prepare and/or review requests and applications for federal, state, and local grant funding by working directly with the program and development teams.
  • Develop and maintain appropriate tracking devices (i.e. spreadsheets) to assist in the monitoring and reporting of grant accounting activities.
  • Appropriately tag all grant-related expenditures, including grant-funded roles.
  • Ensure all requested revenue is received and recorded appropriately.
  • Ensure the proper accounting for and reporting of grants, including monitoring and assisting with tracking, reporting, and subsequent closing of multi-year grants.
Financial Reporting and Budgeting:
  • Provide timely and accurate financial forecasts and budgets on a monthly and annual basis.
  • Research, analyze, and develop analyses that dissect budget vs forecast vs actual variances.
  • Collaborate with leadership team to discuss and examine budgets and spending trends.
  • Draft documents and/or presentations as needed for monthly, quarterly, and annual reporting.
  • Create and maintain reports, templates, and schedules for internal and external stakeholders.
  • Assist in the preparation of all aspects of financial compliance, including all external reporting.
Payroll:
  • Liaise with Human Resources during payroll processing by calculating, reviewing, and balancing payroll transactions.
  • Record payroll expenses in the accounting system.
  • Review and/or approve employee expense reimbursements.
Support:
  • Support during the preparation of tax filings (1099, 990, etc.) and audits by organizing information from internal teammates and external vendors.
  • Prepare accounting records and work papers for interim and year-end audit.
  • Research, respond and clarify questions from auditors and internal stakeholders.
  • Maintain and enforce fiscal policies and procedures and other internal guidelines.
  • Research, develop, and implement systems and processes to further enhance current financial operations.
  • Perform various accounting, administrative and other related duties as assigned and required by the role.
CANDIDATE QUALIFICATIONS

Education Requirements:
  • Bachelor’s degree in accounting, finance, or a related field.
Experience Requirements:
  • A minimum of 3-5 years of finance or accounting experience in non-profits, preferably in K-12 public education.
  • Experience with accounting platforms. (QuickBooks preferred)
  • Experience with AP systems. (Bill.com preferred)
  • Experience with payroll systems. (ADP preferred)
  • Non-profit accounting background, including GAAP expertise. (a plus)
Required Skills and Abilities:
  • Proficient in MS Office Suite and Google Suite (advanced level of proficiency in Excel and Google Sheets preferred)

  • Demonstrated knowledge of internal controls, not-for-profit accounting principles, and experience with federal and private grants preferred
