Job Title: Order Management Specialist
Classification: Full Time Salary, Exempt
Salary Range: $55,000 - $75,000 + Bonus eligibility and Benefits
Reports to: Order Fulfillment Coordniator
Date: 04-01-2024


Summary:
The Order Management Specialist will be responsible for all aftersales order fulfillment. You will ensure timely and accurate communication across the organization and to customers as it relates to order delivery, and other aspects of order processing. This includes entering new sales orders, invoicing customers, scheduling training, inspecting shipments before shipping, and managing customer satisfaction. The Order management Specialist must also work with other departments as needed and direct warehouse personnel to get shipments delivered on time. Due to the varied nature of this role, the Order Management specialist must have a wide variety of skills.

Essential Functions:
  • Support cross functional Order Fulfillment team
  • Receives, prioritizes, and processes customer orders including software licenses, licensing renewals, and parts orders directly with end users.
  • Convert Sales Quotes to Sales Orders and assist in identifying and executing various enhancements to the order management process
  • Ensure compliance with all company and business policies and administer all open sales orders
  • Manage communications with Sales Department, Operations, and Production to ensure process is being followed
  • Prepare and update various sales orders through the appropriate ticket system, and provide updates to management weekly
  • Manage all shipments and respond to inquires about the status of orders and prepare efficient schedules for delivery of items
  • Provide an interface with accounting to manage contracting process, incoming purchase orders, as well as 3rd party purchase orders
  • Prepare and evaluate all metrics weekly
Supervisory responsibilities: N/A
Work Environment: Primarialy in an office/warehouse setting
Physical Demands: Extended periods of sitting or standing and computer use, Carrying or lifting up to 50 lbs for short periods of time
Position Type and expected schedule: Full time, On-Site, 9:00am-6:00pm, Monday - Friday

Requirements
Competencies:
  • Basic level proficiency in Customer Resource Management (CRM)
  • Basic level proficiency in the Order management process consisting of activities in the Booked-Cash stages of a sales cycle
  • Ability to understand interrelated processes between different apps, and software platforms
  • Intermediate proficiency in Google Workspace Applications
  • Critical Thinking and ability to analyze and solve problems
  • Analytical thinker with strong conceptual and problem-solving skills
  • Meticulous attention to detail with superb organizational skills
  • Ability to work independently, or as part of a team
Requirements:
  • Minimum of 3 years Order management/fulfillment experience or business logistics, or a combination of education and relevant work experience
  • Able to lift and carry up to 50 lbs. for short periods of time
  • Highschool Diploma or equivalent
Preferred Education and experience:
  • Five (5) or more years experience
  • Bachelors degree in applicable field
  • Experience with Unleashed or other inventory management software
  • Experience with Zoho or other ticketing and CRM software
  • Project Management Experience
  • Experience working with a small entrepreneurial company
