La Jolla Music Society is one of the most prestigious and highly respected performing arts presenters in the United States. Our winter season presentations showcase a rich variety of classical, jazz, global roots, spoken word, family, and dance programming, at its state-of-the-art venue, The Conrad, as well as off-site venues throughout San Diego. In addition to our winter season and award-winning Learning & Engagement Programs, La Jolla Music Society also produces SummerFest, a renowned four-week chamber music festival featuring world-class artists and ensembles performing an array of concerts and programs curated by SummerFest Music Director, Inon Barnatan.
SUMMARY
The Production Manager plans and implements the production requirements for all LJMS performances both in The Conrad and other San Diego venues such as the Civic and Balboa Theaters. The Production Manager will also help coordinate and plan rental events at The Conrad as necessary.
JOB DESCRIPTION
- Plan and administer all concert production activities for LJMS and The Conrad, including facility and equipment rental, staging requirements, and other logistical arrangements before, during and after productions.
- Advance the production schedule and staging/personnel requirements for each concert with tour managers, musicians, and agents.
- Develop and distribute detailed production schedules for all concerts and rehearsals events with venue and LJMS staff.
- Periodically assist Event Manager in estimate creation and event management/advancement for Visiting Presenters.
- Coordinate with artist management and the LJMS Programming department to ensure that artists’ requirements are understood and met.
- Hire, train, and manage the performance of production staff, including pre-concert and seasonal stage managers. Supervise the Production Coordinator.
- Schedule and hire additional contracted support staff for events as required.
- With the Technical Director, coordinate with IATSE (union) stagehands to satisfy stage requirements for load-ins, rehearsals, and concerts.
- Oversee outside venue contracts and advance concert production requirements with the venue.
- Contract with vendors for rental/delivery/transfer/pickup of any required backline instruments and equipment.
- With Director of Production and Technology, develop and monitor budgets for all production activities. With the Programming department, ensure that artists’ needs are met within budget.
- Work with Artistic and Operations staff in future-season and long-range planning for LJMS; prepare budget projections as needed.
- Maintain proper records to include performance reports, YTD budget actuals, settlements, invoices, and executed contracts.
- Use ArtsVision database to organize relevant production information, equipment, and timelines.
- Additional duties as assigned.
QUALIFICATIONS
- Minimum 3 to 5 years of experience in production management for events.
- Knowledge of event planning, IATSE crew scheduling requirements, event budgeting.
- Experience in advancing chamber music, jazz, orchestra, and dance or similar live music and events.
- Ability to communicate effectively with multiple departments outside of Operations.
- Knowledge of IATSE contract norms.
- Ability to lead IATSE crews as necessary.
- Ability to create appropriate documentation, schedules, lists related to events management and tracking.
- Ability to occasionally lift up to 30lbs and work in noisy environments.
- A willingness to work nights and weekends as necessary.
- Knowledge of Artsvision scheduling software a plus.
