Purpose: As a Marketing Administrator at TTF, you will play a crucial role in supporting the marketing team by ensuring the smooth and efficient operation of administrative tasks. Your responsibilities will primarily revolve around managing shared email inboxes, organizing, and processing invoices, and handling expense reports. This role requires meticulous attention to detail, strong organizational skills, and the ability to prioritize tasks effectively. 

Responsibilities:
 
Monitoring Shared Email Inboxes: 
  • Monitor shared email inboxes, ensuring prompt response and appropriate routing of incoming communications.
  • Prioritize and escalate urgent matters to the relevant team members for timely resolution. 
  • Maintain organized email archives for easy reference and retrieval of information. 
 
Organizing and Paying Invoices: 
  • Receive, review, and organize incoming invoices from vendors and service providers. 
  • Verify invoice accuracy, ensuring adherence to agreed-upon terms and pricing. 
  • Coordinate with finance and procurement departments to process payments in a timely manner. 
  • Maintain detailed records of all invoices and payments for accounting and auditing purposes. 
 
Submitting Expense Reports for the Team: 
  • Collect and consolidate expense receipts and reports from team members. 
  • Verify expense claims for accuracy,completeness, and adherence to company policies. 
  • Prepare and submit expense reports to the appropriate channels for reimbursement or approval. 
  • Follow up on any discrepancies or missing information with team members to ensure timely resolution. 
 
Additional Responsibilities: 
  • Assist in coordinating marketing campaigns and special projects. 
  • Support the creation and distribution of marketing materials, such as brochures, flyers, and promotional items.
  • Assist in maintaining and updating marketing databases and CRM systems. 
  • Provide general administrative support to the marketing team, including scheduling meetings, managing calendars, and preparing documents and presentations. 

Qualifications:
  • Associate degree in marketing, business administration, or related field (preferred). 
  • Proven experience in administrative roles, preferably in a marketing or advertising environment. 
  • Proficiency in email management tools and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Strong organizational and multitasking abilities, with a keen eye for detail. 
  • Excellent communication skills, both written and verbal. 
  • Ability to work effectively in a fast-paced, dynamic environment and meet tight deadlines.
