Who You Are:

The role of the Order & Billing Specialist involves processing sales orders and invoicing customers for the organization. This involves sales order review, approval, and processing in coordination with internal stakeholders and customers. The successful candidate will be experienced with sales orders, contracts, and billing. The candidate will be highly organized and be able to multi-task and deliver consistent results in a fast-paced environment. Additionally, the candidate will be committed to a high degree of quality, accuracy, and attention to detail with all work and deliverables. This role is a key point of contact to the Sales department, customers, and other internal departments to support activities that drive growth. The candidate will partner cross-functionally and within Finance to execute the duties of the role. To be successful in this role, the candidate will need to possess or gain an understanding of our products & services.  

What You'll Do:
 

  • Review and analyze quotes and opportunities generated by the Sales team to ensure smooth order processing & subsequent invoicing.
  • Manage customer sales orders for Finance, ensuring accuracy and completeness.
  • Ensures that all pertinent information is included at time of sales order, specifically accurate customer information, product information, quantities, pricing, contact information, payment terms, billing terms, etc.
  • Maintain accurate and up-to-date customer demographic and contact information in Salesforce CRM and Sage ERP.
  • Contact appropriate stakeholders to clarify sales order details and obtain additional information, as necessary.
  • Continual follow-up on any issues causing roadblocks with the order entry process to ensure timely billing, revenue recognition, and ability to pay commissions.
  • Perform open orders review as part of month-end closing process.
  • Communicate with the Sales team on the status of orders.
  • Assist with contract renewals and associated billing updates.
  • Complete all billing activities for the company, including both recurring and non-recurring. Process invoices monthly and send to customers timely.
  • Manage ACH billing for recurring payments, including monthly upload of information to bank.
  • Execute accounting control points around invoice creation & execution.
  • Generation of billing data and reconciliation of invoicing to revenue results.
Business Partnering / Other:
  • Support the preparation of quotes and proposals from a Finance perspective.
  • Work closely with Finance, Revenue, and other department stakeholders to ensure all orders are processed accurately and timely.
  • Guides the Sales team on how to maximize their utilization of Salesforce to ensure a high quality, accurate, and complete Order Entry process.
  • Responsible for providing pre-sales and post-sales support to the Sales team.
  • Collaborate with other departments to ensure accurate and timely billing.
  • Assist with reconciliations of certain general ledger accounts.
  • Maintain and update policies and procedures.
  • Perform any other duties needed to help drive our Vision, fulfill our Mission, and abide

What You Will Need:

  • Exceptional attention to detail.

  • Ability to communicate effectively (both verbal and written).   
  • Proven business partnering skills with demonstrated ability to build relationships and influence decision making. 
  • Highly organized with ability to multi-task and work effectively within a fast-paced, deadline-oriented environment with minimal supervision. 
  • Must demonstrate persistent follow-up to resolve questions and open items.   
  • Strong computer skills including Microsoft Office Suite (Outlook, Word, PowerPoint, Excel), Salesforce CRM, and Adobe Acrobat. 
  • Advanced Excel proficiency such as pivot tables, VLOOKUPs, and other complex formulas. 
  • Proficient with ERP systems (Sage 300 preferred but not required). 
  • Knowledge of Generally Accepted Accounting Principles (GAAP). 

Education and Experience:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field. 
  • 5+ years of experience in a similar role.  
  • Experience in a software as a service (SaaS) company is preferred. 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to lift up to 15 pounds at times.
