PAYROLL SPECIALIST (PT)

InSite Real Estate is a national commercial real estate development company based in Oak Brook, Illinois. InSite develops, owns, and operates tenant-driven investment property nationwide. Privately held since its 1988 formation, the company has completed over 600 industrial, office, and retail projects located in over 40 states ranging from 2,000 SF to 2.6 million SF in size, and $1 million to $250 million in value. We have successfully completed Build-to-Suit projects for major clients such as Starbucks, Burger King, Ford, and many more.

We are hiring a part-time Payroll Specialist within our Human Resources Department that can work up to 25 hours per week. The ideal candidate must be able to work a hybrid schedule within company defined core days/hours and meet the following expectations:

Primary Responsibilities:

• Process regular biweekly payroll for exempt, non-exempt, and union employees.
• Execute off-cycle payrolls, manual checks, and special checks for retro pay, bonuses, commissions, or severances.
• Correctly calculate and verify employee pay, contributions, retro payments, adjustments, overtime, hours, and other deductions and earnings.
• Maintain and update employee profiles for new hires, status changes, pay rates, tax withholdings, direct deposits, terminations, and other changes.
• Manage time and attendance access and hours.
• Reconcile pre-payroll reports/register and resolve discrepancies or errors.
• Process post-payroll reports and maintain all records.
• Generate requested reports and distribute to appropriate parties as needed.
• Process wage garnishments and child support orders.
• Handle all payroll tax related inquiries, filings, adjustments, amendments, and quarterly and year end activities.
• Review and approve year end W-2’s.
• Responsible for out of state tax registration.
• Respond to tax notices, unemployment notifications, employment verification requests, and employee inquiries.
• Ensure that union pension fund and deferred compensation reports are completed, and funds submitted.
• Process 401k pending contributions and reports.
• Leverage payroll system capabilities.
• Support the leadership team.
• Other duties as assigned.

Qualifications:

• A bachelor’s degree.
• 5+ years of experience.
• Experience with ADP Workforce Now preferred.
• CPP designation, a plus.
• Strong understanding of payroll and tax regulations, and relevant employment laws.
• Experience with multi-state payroll processing.
• Strong organizational skills and ability to manage multiple tasks and deadlines.
• Exceptional analytical and quantitative skills.
• Proficient in Excel.
• High attention to detail.
• Ability to work and troubleshoot independently.
• Excellent written and verbal communication skills, as well as interpersonal skills.
• Self-driven.
• High level of confidentiality and integrity with sensitive information.
