Job Description

The Order Service Specialist I partner with all sales reps to prepare quotes for our customers, processing all incoming orders for our customers, handles all internal and inter-company requests for products and assists in the accuracy of maintaining customer records. This includes providing customer support regarding questions or concerns with orders. In addition, this role works closely with the Order Service Supervisor II, Order Service Specialist III, Order Service Specialist II, Implementation Coordinators, Proposal teams and Contract teams in servicing our customers.

Essential Functions and Responsibilities:

  • Prepares customer quotes for Renaissance products and services
  • Responsible for understanding and enforcing company business policies and procedures pertaining to pricing and discounting
  • Knowledgeable on product and pricing changes
  • Editing orders using the CRM for research and reconciliation of customer information, verifying that pricing and SKUs are correct
  • Processing orders into NetSuite including orders with payments, credit cards, web, faxed and contract orders
  • Facilitate email correspondence with customers (internal and external) regarding order discrepancies and monitor through resolution
  • Complete orders assigned into OSTEAM email inbox
  • Document management including but not limited to scanning all documents into CRM
  • Contacting customers or prospects to obtain and/or verify information
  • Respond to customer requests via phone, email or other
  • Logged into a customer facing (internal/external) phone queue daily to assist with quoting, orders, and invoice questions
  • Process customer returns
  • Provide support for the implementation coordinator team
  • Work closely with the Accounts Receivable team on invoicing questions
  • Routing tax exemption certificates to the tax exemption inbox
  • Participation in rotations for doling out orders, RMAs, discounts, etc
  • Participation in working late shift during peak time
  • Assist with training new team members
  • Testing of systems, products, pricing, etc.
  • Available at end of month when required
Qualifications

  • High school diploma or general education degree (GED) and
  • Minimum 1 year of experience in customer service role with proven skills in handling customer issues professionally and swiftly, OR
  • Equivalent combination of education and experience
