The Document Coordinator maintains the production of in and outgoing mail, as well as a working knowledge of all equipment in the mailroom. In addition, has a working knowledge of the file room. The Document Coordinator is responsible to gather additional information requested by the pricing vendors such as but not limited to copies of claims, plan documents, etc.

Essential Functions

  • Perform junctions necessary to process incoming and outgoing mail.
  • Receives, sorts, and routes incoming mail.
  • Meets established production standards.
  • Protects the privacy of the customer by maintaining confidentiality.
  • Operates all mailroom machinery.
  • Maintains the operation of the File room.
  • Assists employees with pulling claims as well as re-filing pulled claims.
  • Regular and reliable attendance is required.
  • Gathering documents requested by vendors such as copy of claim, EOBs, itemized bills, etc.
  • All other duties as assigned.

Minimum Qualifications

  • Knowledge of office management principles, methods, and procedures to complete work assignments
  • Knowledge of sorting/filing techniques and records retention policies and schedules to maintain accurate records.
  • Basic administration and clerical procedures
  • Oral and written communication skills
  • Knowledge and experience in Word, Excel
  • Ability to work longer hours and later shifts, as needed to get the job done.

EDUCATION/EXPERIENCE

  • High School degree or an equivalent.
  • 6 months of related experience.

WORKING CONDITIONS

  • Works in assigned area, including office areas, conference rooms, etc., as necessary.
  • Moves intermittently during working hours.
  • Is subject to frequent interruptions.
  • May be subject to work beyond normal working hours and on weekends and holidays when necessary.
  • Attends and participates in continuing educational programs designed to keep you abreast of changes in your profession.

SPECIFIC REQUIREMENTS

  • Must be able to read, write, speak and understand the English language.
  • Valid driver’s license.
  • Must be able to effectively communicate with the customers.
  • Must be able to communicate clearly and concisely, orally and in writing, including formal communications and making presentations (if necessary).
  • Must possess the ability to make independent decisions when circumstances warrant.
  • Must be able to perform basic math skills, adding, subtracting, dividing etc.
  • Must be able to operate office equipment including information management tools (Windows applications, database, etc.).
  • Must possess the ability to deal tactfully with personnel, visitors, and government agencies.
  • Must possess ability and willingness to work harmoniously with other personnel.
  • Must be willing to seek out new methods and principles and be willing to incorporate them into existing practices.

PHYSICAL AND SENSORY REQUIREMENTS (with or without the aid of mechanical devices)

  • Must be able to move intermittently throughout the workday.
  • Must be able to cope with the mental and emotional stress of the position.
  • Must be able to see and hear, or use prosthetics that will enable these senses to function adequately to assure that the requirements of this position can be fully met.
  • Must function independently and have flexibility, personal integrity, and the ability to work effectively with personnel, visitors, and government agencies, etc.
  • Must meet the general health requirements set forth by the policies of S&S HealthCare Strategies, which may include a physical examination.
  • Must be able to frequently and safely push, pull, move and/or lift a minimum of 50 lbs.
