This is an IN-OFFICE Position.

Schedule: Monday-Friday 9:30am-4:30pm

PRIMARY JOB FUNCTION(S):

  1. Assists in the preparation, updating, maintenance of record-keeping for the department/s.
  2. Provides principle administrative support to the Director and departmental staff.
  3. Screens and takes messages for departmental staff.
  4. Types correspondence, special reports, and other documents as assigned by the Director.
  5. Answers telephone takes messages and answers inquiries within assigned scope of responsibility.
  6. Schedules appointments, meetings and maintains calendar.
  7. Distributes mail; orders, distributes, and keeps an inventory of supplies.
  8. Maintains files; proofreads and edits; and prepares reports.
  9. Maintains and processes forms/filing for the department.
  10. Maintain employee and onboarding databases.
  11. Ensures Agency is compliant with all employee regulated requirements.
  12. Greets, introduces, and assists visitors.
  13. Handles administrative, financial, and secretarial duties with judgment and accuracy.
  14. Uses technology for the completion of specified job duties.
  15. Ensures that all items on the HR Audit are maintained.
  16. Attends work regularly according to assigned work schedule and in accordance with Agency policy.
  17. Attends and participates in in-service training, staff meetings and other activities to facilitate professional development.
  18. Works cooperatively with others including all staff, supervisors, administrators, co-workers, individuals served, community professionals, customers, vendors and the public.
  19. Follows instructions and abides by Agency policies and procedures.
  20. Assumes other duties, responsibilities and special projects as needed.
  21. Handle all aspects of recruitment as well as some administrative functions related to hiring.
  22. Place ads, attend job fairs, coordinate in-house job fairs, recruit staff, screen and interview qualified applicants, administer skills assessments when needed, and complete all required paperwork and associated documentation.
  23. Source and recruit candidates by using databases, social media, etc.
  24. Screen candidates resumes and job applications.
  25. Develop and update job descriptions and job specifications.
  26. Comply with all Agency policies and procedures and follow regulatory requirements.
  27. Assess applicants' relevant knowledge, skills, soft skills, experience and aptitudes.
  28. Act as a point of contact and build influential candidate relationships during the selection process.
  29. Performing other duties as assigned to get the job done!

REQUIREMENTS:

EDUCATION:Anassociate degree or greater from an accredited school is preferred. High school diploma or its equivalent is required.

EXPERIENCE: At minimum, two years' experience as an Administrative Assistant,HR Clerk or similar.Good understanding of HR operations (recruiting, onboarding, training and compensation). Ability to demonstrate knowledge of MS Office and Excel. Solid organizational and time-management skills. A work history which demonstrates a high degree of accuracy, organizational skills, judgment, tact and the ability to work independently, meet the public and interact with all levels of staff. Experience working in the field of health or human services, or intellectual disabilities preferred. Must have a valid driver's license and an acceptable driving record as determined by criteria established by Agency policy.Must be able to lift 50 pounds.

NOTE:At the discretion of the Director, additional related experience and/or education may be substituted in lieu of the requirements specified above under Education and Experience.
