Provide general assistance to Sales Department staff and their assigned Clients
- Obtain complete Job Information forms for all new projects.
- Update Projects with all Customer Change Orders and Vendor Acknowledgements.
- Research PO's that have not been Acknowledged by Vendor
- Verify orders past Acknowledged ship dates.
- Troubleshoot any problems associated with Purchase Orders (Acknowledgement, Dates, Pricing, Deliveries, etc.)
- Responsible for maintaining the accuracy of Draw Reports and sending them out monthly to Project Managers.
- Responsible for the maintaining the accuracy of the Job Detail Reports and sending out weekly to Project Managers for on-going jobs in Project Control according to preset schedule.
- Prepare reports and attend Project Management meetings.
- Process and follow-up on RMA/RGA with Customer and Manufacturer
- Process and follow-up on freight claims.
- Help manage client relationships by being a point of contact with Sales personnel who are not available to take phone calls
Other Responsibilities
- Answer phone when needed
- Assist and or coordinate customer training seminars, breakfasts, lunches, etc., if requested by Sales staff
- Participate in sales meetings and activities
- Provide additional duties as required
Qualifications
- Ability and willingness to represent Mechanical Reps in the most positive manner with clients, suppliers and the community we serve
- Ability to work effectively with co-workers and other customers; learn and use operating practices of the company
- Ability to communicate effectively orally and in writing
- Cooperate as a team member with all departments
- Ability to provide service in a courteous, prompt and efficient manner
- Assume responsibility, deal effectively with problems, and exercise independent judgment when making decisions
- Possess good organizational skills
- Ability to develop and use empathetic listening skills, communicate with clarity and maintain an attitude with conveys respect, assistance, honesty and resourcefulness
- Ability to manage confidential client and employment information with tact and discretion
EDUCATION & EXPERIENCE
- High school or GED required
- 2-4 years of customer service experience
