Castle Contracting, LLC (Castle) is a 100% employee-owned, self-performing site preparation contractor. We have served clients in Southern California since 1969, helping to solve their most complex site preparation challenges. We provide site utilities, dry utilities, natural gas, and earthwork construction services. The company has offices in San Diego and Newport Beach, with projects ranging in size from $250K to $7M. Castle is a privately held, wholly owned company of McCarthy Holdings, Inc.
The Project Coordinator is responsible for supporting the Operations & Accounting teams through ownership of all administrative tasks throughout the project lifecycle, from handoff to project closeout.
KEY / SPECIFIC RESPONSIBILITIES:
1. Own administrate startup / close-out process for new projects.
- Create project in Master File Index and setup budget in Oracle; coordinating with Project Manager.
- Initiate project start-up in Oracle (complete contract summary sheet and submit to corporate).
- Complete startups and renewals (e.g. utility locates, permit acquisition, bond acquisition, & project specific COIs).
- Assist with project specific badging, when required.
2. Administer Owner & Subcontractor Contracts and Purchase Orders
- Coordinate Owner Contract review and approval process.
- Gather all Subcontract and Purchase Order documents and track through full execution; coordinating with the Project Manager.
- Ensure insurance certificates (e.g. OCIPs, CCIPs, UCIPs, etc.), project specific enrollments (e.g. DVBEs, MBE, WBE, etc.), and monthly reporting are completed, and assist sub-subcontractors with the same.
- Coordinate review of sub-subcontractor insurance documents with Corporate Risk Mgmt. Team, and track ongoing projects, ensuring sub-tiers remain compliant.
- Track XBE participation when required on projects.
- Coordinate all prelim information, with both the client and any sub-subcontractors.
3. Support Project Accounting Needs
- Update project folders with copies of executed change orders, update change order request (COR) log, and adjust Contract value within Oracle.
- Manage Client billing and payment requirements (e.g. PHE & Sub/Vendor releases, prelim & release information, and logging of payments in Master File Index), to include ensuring Sub-Subcontractors have proper project specific billing requirements / documents.
- Setup of customer schedule of values (SOVs) in Oracle.
- Setup of task codes and performance of maintenance within Oracle throughout project duration.
- Support Project Managers with completing monthly WIP projections.
- Track payment status of Accounts Receivables (ARs).
- Complete check deposits from AR payments.
QUALIFICATIONS:
· Minimum 3-years of experience as a Project Coordinator.
· Working knowledge of Microsoft Word, Excel, Outlook.
· Attention to detail.
· Solid interpersonal and communication skills.
· Demonstrates behaviors consistent with company core values.

For Southern California locations only, the hourly rate for this position is: $24.00 - $32.00 depending on experience. This does not include possible bonus and other benefits which can impact total compensation. Compensation offered may vary based on work location, experience, qualifications, specialty, training, and market and business considerations, among other factors.
