Job Summary: Coordinator and Technician for Gateway Transcranial Magnetic Stimulation (TMS) Clinic
Essential Functions:
- Navigate the scheduling and re-scheduling aspects of Gateway’s electronic medical record (EMR): Carelogic.
- Call patients to confirm appointments as needed, receive and field patient questions and relay to physician via email, phone or other appropriate communication method
- Complete prior authorization for patients to receive TMS treatment.
- Complete ROIs (release of information) and obtaining outside medical records via fax etc., as needed for patient TMS treatment.
- Work with patients to optimize patient comfort during treatments.
- Assessing suicidality and administering/assisting patients in completing mental health screeners as needed
- Monitoring of patient safety and tolerability during TMS treatment delivery.
- Communicate with clinic team members, including prompt updates to physician regarding patient updates received in person, phone, email fax or other.
- Attend TMS team meetings to provide updates on clinic workflow and patients’ treatment progress
- Preform TMS treatment delivery with competency in the following areas:
- basic device operation and setting parameters
- proper coil handling and placement for daily accurate positioning
- how to call patients to confirm appointments, receive and field patient questions and relay to physician via email, phone or other appropriate communication method
- when to pause treatment or call the physician to discuss a case
- proper documentation and reporting in EMR
Required Knowledge & Skills:
- Maintain up to date TMS training (by TMS device manufacturer and Gateway or other TMS clinic), BLS training, HIPPA training and other Gateway staff orientation requirements (fire safety etc.)
- Stay up to date on TMS clinic protocols and procedures including seizure and other clinic safety protocols
- TMS treatment delivery and EMR competency (training will be provided if not already acquired/demonstrated).

Required Education & Experience: High school degree required. Associates or Masters in Healthcare/nursing/sciences preferred, with experience in medical office/clinical setting. Comfortable with mental health patients with focus on optimizing patient safety and comfort during TMS treatments. Strong organizational skills, proactive in patient outreach, scheduling, taking vital signs and team communication. Competent in faxing, documenting, and TMS treatment delivery (can be trained).
