General Summary: An exempt, administrative position responsible for all direct operational activity within the research office and in accordance with broad operating systems and standards.

Essential Job Responsibilities:

  1. Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
  2. Manages department schedule including subject, provider, and sponsor visits.
  3. Troubleshoots all scheduling, and rescheduling issues.
  4. Opens and distributes US/interoffice mail and faxes, checks e-faxes, and EMR for record receipt.
  5. Submits requests for business related purchases through AP or Department Manager.
  6. Assists in developing the department budget and acting as a point person for business expenses. Exercises fiscal responsibility and ensures accurate spending records are maintained.
  7. Maintains forms and correspondence contacts for physicians and office staff.
  8. Contacts all administrative-related vendors and service departments for regular and as needed maintenance.
  9. Supports and upholds established policies, procedures, objectives, quality improvement, safety, environmental requirements of accreditation and regulatory agencies.
  10. Check-In and Check-Out processes for subject visits.
  11. Answers incoming phone calls and transfers to appropriate staff.
  12. Oversees and/or assists with the pre-visit planning process.
  13. Assists in preparing visit supplies and subject charts for upcoming appointments.
  14. Addresses and directs any operational errors to the appropriate person as they occur.
  15. Manages the CTMS study dashboards and study financials including tracking payments and submitting invoices.
  16. Supervises staff overseeing subject recruitment and assists with subject recruitment and retention.
  17. Ensures that office space, supplies, equipment, and assistance are provided and maintained appropriately for research staff.
  18. Ensures provisions of safe, high-quality subject care by the research staff.
  19. Other duties as assigned, including cross training as required to meet the needs of the department.

Education/Certifications: Bachelor’s Degree, or equivalent combination of education and experience.

Experience: 5 years’ experience in customer service/reception and or administrative responsibilities, preferably in a health care environment. Supervisory experience preferred.
