Reports to: Chief Executive Officer
Supervises: Department Staff as assigned

Job Summary: With a customer service focus and commitment, the Business Office
Manager assists the CEO with planning, direction, and execution of the operations of the practice.
This individual must have a thorough knowledge of medical office operations and billing systems,
the ability to interpret and administer practice business policies and effectively communicate with
staff, physicians, and patients. A bachelor’s degree in health administration, business
administration, or business management is required and 3-5 years of medical office operational
management experience is preferred. Orthopaedic experience is a plus!

Duties and Responsibilities:
• Supervises day-to-day operation of the clinic department(s) implementing clinic objectives,
policies, and procedures.
• Selects and trains/orients departmental personnel. Responsible for work assignments and
daily operations.
• Evaluates performance within delegated areas and recommends merit increases, promotions,
and disciplinary actions.
• Collects data, prepares reports, answers correspondence, and compiles statistics for
administrative and regulatory purposes.
• Assists in developing, implementing, and administering office policies and procedures to
include monitoring changes in the medical insurance industry and adjusting policy and procedures
accordingly.
• Assists in helping CEO develop long-range plans involving new products, services, and human
resources.
• Works with department staff to develop/implement performance goals and objectives.
• Maintains compliance with governmental regulations and industry requirements including, but
not limited to OSHA, HIPAA, and MIPS.
• Trains new and current departmental staff in medical office systems with an emphasis on
efficiency.
• Shares information and facilitates development of communication systems for staff,
providers, and administration.
• Analyze, troubleshoot, and recommend changes to information technology, procedures, and
policies.
• Identifies and implements workflow, procedural and operational improvements in the business
office.
• Resolves operation problems and recommends changes to the CEO.
• Manages work assignments for maximum productivity.
• Assists with the coordination of the business office services with other departments.
• Maintains outstanding interpersonal relations, integrity, and communications with other
staff members.
• Monitors and sets examples for achieving the highest standards of patient satisfaction.
• Conducts new employee orientations, reviews, and coordinates/monitors on-the-job training
as necessary.
• Attends administrative meetings and participates in committees as requested.
• Pursues professional development activities to ensure currency with present practices and
trends in healthcare.
• Complies with all policies and procedures of the Practice.
• Maintains strictest confidentiality.

Education: A bachelor's degree in health administration, business administration, or business
management is required.

Experience: A minimum of 3-5 years of medical office operational management experience is
preferred. Orthopaedic experience is a plus!
Knowledge:
1. Knowledge of organization policies and procedures.
2. Knowledge of fiscal management practices and human resource management techniques.
3. Knowledge of healthcare administration systems.
4. Knowledge of governmental regulations and billing requirements.
5. Knowledge of computer systems and system applications.
Skills:
1. Skill planning, organizing, and supervising.
2. Skill in exercising initiative, judgement, problem-solving, and decision-making.
3. Skill in developing and maintaining effective relationships with medical and administrative
staff and with patients and the public.
Abilities
1. Ability to analyze and interpret complex data.
2. Ability research and prepare comprehensive reports.
3. Ability to communicate clearly and effectively in writing and verbally.
4. Ability to function in a leadership role influencing medical and administrative staff.
5. Ability to maintain confidentiality of sensitive information.

Environmental/Working Conditions: Work is performed in a busy office environment and requires both
desk and counter work. Occasional evening and/or weekend work.

Physical/Mental Demands: Frequent mobility and/or sitting required for extended periods of time.
Manual dexterity for using a calculator and computer keyboard. Some bending and stooping required.
