JOB SUMMARY

This position supports District Golf & Tennis operations by organizing and coordinating office procedures in order to ensure organizational effectiveness and efficiency. In addition, this role is responsible for developing communication protocols, streamlining administrative procedures, inventory control, and office and tee time staff department supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES (Includes, but not limited to)

  • Responsible for the overall supervision of the Tee Time Staff and Administrative Office Staff.
  • Oversees the hiring and training of the Tee Time and Administrative Office Staff. Responds to resident concerns as it relates to Tee Time or Membership matters.
  • Keeps management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.
  • Maintains office staff job results by coaching and counseling employees; planning, monitoring and appraising job results.
  • Manages the daily operation of the automated tee time and membership systems.
  • Manages and audits the entire membership fee collection process and nightly closing procedures.
  • Provides support to the Executive Director of Golf Operations.
  • Acts as a liaison between District Human Resources and Golf & Tennis employees pertaining to current Human Resources policies and procedures. Coordinate and manage onboarding activities; review applications, schedule interviews, and prepare various HR documents for submission to the HR Department for processing.
  • Works in conjunction with District Human Resource Department to maintain policies and procedures as needed.

Budget and Finance

  • Supervises departmental purchasing, cash handling and other financial procedures.
  • Use of accounting software for reviewing, coding and approval for all accounts payable.
  • Assist the Executive Director of Golf Operations with analyzing budget management through review of revenues and expenditures throughout the year.
  • Conducts analyses ranging from simple spreadsheets to complex cost/benefit analysis.
  • Work with the Executive Director of Golf Operations to plan, implement and oversee the budget for the following fiscal year as well as maintaining the current year’s budget.
  • Assist with the preparation of budget presentations for meetings, attending meetings as required.
  • Review and approve all department purchase requisitions, invoice requests and check requests.
  • Provide direction to staff on Purchasing policies and procedures.
  • Reconciles the purchasing cards transactions form with the general ledger and provides monthly report to Finance.

Supervisory Responsibilities

  • Responsible for the management of the Tee Time staff and administrative office staff.
  • Responsible for the overall direction, coordination, and evaluation of these business units.
  • Carry out management responsibilities in accordance with the organization’s policies and applicable laws.

Additional

  • Performs other duties as assigned.
  • May be expected to perform additional duties in an emergency.

MINIMUM EDUCATION AND EXPERIENCE

  • Bachelor’s Degree or equivalent experience. Minimum of three (3) years related job experience and/or training; or equivalent combination of education and experience providing office management level support.

MINIMUM CERTIFICATES, LICENSES, REGISTRATIONS

  • Valid Florida Driver’s License required.
  • All candidates and employees must successfully pass background screening.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES (Includes, but not limited to)

Knowledge

  • Knowledge of traditional and digital marketing tools.
  • Ability to read, analyze and interpret general business periodicals, professional journals, and government regulations.

Skills

  • Excellent written, oral communications, presentation skills. and professional appearance.
  • Applicant must have strong working knowledge and use of Microsoft Office software including Word, Excel, and Outlook.
  • Strong work ethic and commitment to providing optimal customer service.
  • Well organized and able to successfully multi-task, and work under pressure.
  • Skills in accounting concepts and governmental budgeting process.
  • Highly detail-oriented with excellent organizational skills.

Abilities

  • Ability to adapt to multiple competing priorities simultaneously.
  • Ability to effectively write professional reports, business correspondence and present information and respond to questions from groups of managers, employees, customers, and the public.
  • Ability to write speeches and articles for publication that confirm to prescribed style and formats.
  • Ability to calculate figures and amounts such as amounts, discounts, interest, proportions, percentages.
  • Ability to attend District, Staff and Board meetings as required.
  • Ability to work with a large diverse population and to communicate effectively orally and in writing.
  • Proven ability to manage multiple tasks while interacting with all levels of people.
  • English is required for oral and written communications.

EQUIPMENT (Includes, but not limited to)

Position regularly requires the use of office equipment, including but not limited to telephones, personal computers and productivity software.
