SUMMARY OF FUNCTIONS
The Group Sales and Events Manager oversees daily event operations by ensuring all individual group bookings are received, scheduled, and executed to accurately provide efficient, prompt, courteous, and proactive service with Aloha. This manager must oversee and increase group sales in catering, banquets, and other events to meet target revenue objectives. Additionally, responsible for generating leads, maintaining a professional response level, and securing group sales business while producing individual budgets and invoices based on menu selection. The Group Sales and Events Manager will collaborate with restaurant location Chefs, Managers, and General Managers to co-develop an efficient hand-off process to ensure flawless service delivery to guests.

DUTIES AND RESPONSIBILITIES


  • Directly reports to the VP of Group Sales and Events alongside Front and Back of House management.
  • Generates sales plans to acquire new business by developing new and continued business relationships with respectable clients within the community, including but not limited to influential people, tour groups, civic groups, local businesses, military personnel/associations, etc.
  • Oversee opening and closing duties are completed correctly and that cleanliness and maintenance are maintained 100% of the time when required.
  • Inventory and maintenance of par levels for banquet/event items.
  • Providing excellent customer service to guests and excellent leadership to reporting employees.
  • Handle any guest complaints according to provided guidelines and company standards.
  • Assist with prepare monthly and annual sales reports as needed.
  • Book and facilitate site tours.
  • Work closely with the Back of House and Front of House Management to provide a seamless experience.
  • Solicit and promote special event business through advertising, cold-calling, contacting past customers, creating and maintaining relationships with local businesses, and other cost-effective activities.
  • Negotiate final pricing, prepare invoices, and secure customer signatures for confirmation and payment.
  • Collect deposits ensuring transactions are PCI compliant and follow proper cash handling and confidentiality procedures.
  • Maintain records of event aspects, including financial details.
  • Support the VP of Sales and Events to maintain an updated and detailed price sheet of all billable products and services that accurately reflects todays costs and the companys profit objectives.
  • Obtain all specifications and pertinent information concerning the event, including but not limited to the event date, time, duration, headcount, and menu.
  • Ensure that documentation and confirmation are achieved during final arrangements with clients, then provide a solid handoff to the location event management to take over until the event has ended.
  • Regularly review upcoming events function sheets and thoroughly understand all requirements for upcoming scheduled events.
  • Coordinate event services, such as signage, displays, special needs requirements, printing, and event security.
  • Requisition or obtain equipment and supplies needed for each event, ensuring they meet customer expectations and requirements.
  • Direct administrative details such as financial operations, dissemination of promotional materials, and prompt response to inquiries.
  • Confer with the location event management to synchronize event setup details and staffing.
  • Responsible to professionally collaborate with FOH and BOH management for effective and successful handoff of all event bookings.
  • Ensure an inspection of the event room/area before the start of each function (check room setup, menu, service staff, etc.) to be sure it conforms to the function sheet when needed.
  • Monitor event activities (on or off-site) to ensure compliance with applicable regulations and laws, Company culture, standards and procedures, and customer satisfaction, and provide resolution of any problems that arise.
  • Provide a high level of communication of event details, including group size, menu items, and other pertinent details, with the Front and Back of House management team.
  • Must be available to work extended hours when helping finalize event details and may be required to be available evenings, holidays, and weekends.
  • Must wear appropriate attire for administrative days and banquet events. Banquet event attire includes a business casual top or 604 company shirt and black pants or shorts. Skirts and dresses are not permitted during banquet events. When working administrative days, business casual attire is required in compliance with the Company manager's dress code. Ripped jeans, sweatpants, and leggings are not permitted at any time.
  • All other duties as assigned, including adhering to all Company policies, procedures, and core values.

EXPERIENCE


  • One to three years of restaurant sales or event planning and/or food and beverage experience preferred.
  • Understanding of menu selections, pricing, and kitchen procedures.
  • Positive attendance and performance record.
  • Familiar with the industrys best practices.
  • Basic working knowledge of various computer software programs (G-Suite, restaurant management software, POS)

OTHER REQUIREMENTS

  • Must be 18 years of age or older
  • Must be able to lift and/or carry up to 20 lbs. occasionally.
  • Possess outstanding oral and written communication skills.
  • Maintain high energy, optimistic personality with a sense of urgency.
  • Possess strong organizational skills, can-do and positive attitude with the ability to prioritize, multi-task, meet deadlines, and resolve issues effectively in a changing work environment.
  • Is results-oriented with excellent leadership skills.
  • Confidant in cold calling, networking, and presentation skills.
  • Is flexible, adaptable, and able to act quickly without supervision.
  • Must be able to stand and exert well-paced mobility for the duration of a scheduled shift.
  • Must have the ability to stand and walk for extended periods of time.
  • Must have the ability to lift, stoop, and bend.
  • Must be reliable and punctual
  • Must be efficient and accurate with money and figures, including cash management.
  • Preferred to be able to pass food safety training.
  • Must be able to work flexible hours including evenings, weekends, and/or holidays.
