JOB DESCRIPTION SUMMARY

The Construction Billing Specialist gathers information from respective Outside Sales Representatives each month and submits invoices by prescribed due dates dictated by our customers. In addition, they will enter Contracts and Change Order information into the accounting/management system.

Position Responsibilities:

  • Process AIA and monthly billings for multiple construction related rental projects, monitor aging and follow up on outstanding invoices.
  • Create and distribute invoices to customers, ensuring accuracy and adherence to billing terms.
  • Pay Apps and Billing Management: Process all.
  • Collect subcontractor documentation, review subcontractors and subcontractors change orders
  • Lien waiver maintenance
  • Assist with Accounts Payable function when needed.
  • Provide support to Accounting Department and Construction Team
  • Organize and maintain filing.
  • Ensure all applicable customer billings are accurate and sent out prior to due date
  • Converses confidently with sales team and customer as it relates to our billing.
  • Notifies respective OSR's and Branch manages of any disputes related to the amount billed.
  • Maintains professionalism and good rapport with customers and OSR's.
  • Follows up on non-payment from outside customers.
  • Maintains insurance file for proof of insurance with all customers.

Skills & Abilities

  • Knowledge and experience of AIA invoicing (G702 and G703 format)
  • Experience with standard accounting procedures.
  • Understanding of Retaining, Schedule of Values, Waivers and Lien Releases and Subcontractor insurance requirements
  • Ability to read, write and comprehend simple instructions, short correspondence, and memos.
  • Good listening, organizational and multi-tasking skills
  • Must be able to work in a team environment.
  • Advanced ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
  • Intermediate proficiency with computers and Microsoft software programs such as Word and Excel
  • Advanced ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Ability to interpret a variety of instructions finished in written, oral, diagram or schedule form.
  • Strong Excel skills, ability to work with a variety of software products
  • Understanding of construction accounting and control processes
  • Detail oriented, organized, and efficient individual
  • Advanced ability to identify problems, collect information, establish facts and work with the sales team to draw valid conclusions.
  • Experience with construction billing portals and customer billing platforms

Experience & Education

  • High School diploma or equivalent and 5-years related experience and/or equivalent combination of education and experience
  • Preferred experience includes possessing a working knowledge of Point of Rental, Rental Man or any other Rental industry ERP system
  • Must have minimum 3 years' construction industry experience.

The physical demands of this role require bending, squatting, crouching, reaching, lifting 50 pounds or more, and working indoors/outdoors when required by the job. This person must be able to pass a drug screen prior to hiring, you will also have to provide your driver's license to perform a Motor Vehicle Records background check.
