Job Description

POSITION OVERVIEW: The Operations Admin reporting to the General Superintendent is responsible for supporting the needs of the Field Operations Team (Superintendents, Foreman and Field Crew). He/ She is responsible for creating work schedules, the complete life cycle of material and equipment procurement, identifying and providing training needs for the construction needs of all projects. Labor Compliance. Cost Coding. Facilities management. The Operations Admin models and acts in accordance with DHRG's mission, vision, core values, leadership competencies, and norms.

The following key accountabilities ensure the critical success of this position:

 

Work collaboratively with the Field Operations Team to create work schedules that support daily manpower goals.

· Labor Dispatching thru Union trades.

· Review project details and manpower needs with Superintendent to accurately update the daily “Manpower Log.”

· Communicate timely and effectively with all employees and staff the updated “Manpower Log” to ensure every employee receives their work assignment.

· Labor Compliance - Comply with City and County requirements for all project needs.

· Responsible for the equipment division dispatching and billing thru the “Rapid-Apps” Software.

· Review daily timecards for weekly payroll processing

· Process invoices for approvals and resolve any discrepancies.

 

Responsible for ensuring adequate material and equipment resources are available for each project to supports construction schedule.

· Review and update “Concrete Order Log” on a timely basis to ensure that all the concrete pouring needs are documented and planned

· Communicate and coordinating with the Ready-Mix Company to ensure the right quantity and accurate mix design is delivered at the right place and right time.

· Review and identify approved Submittals prior to material purchase.

· Review and order materials to ensure that all “one week look ahead” requirements are

ordered and delivered on a timely basis. Identify long lead-time items.

· Review and schedule Equipment rentals based on “one week look ahead” to ensure that equipment is onsite when required.

· Approve all material, concrete, and rental equipment invoices

· Monitor price fluctuations for various raw-materials and communicate to estimating and operations.

 

Responsible for providing proper training to the field team on time tracking

and reimbursement process.

· HH2

· Verify parking ticket match HH2

· Rapid Apps.

Engages in meeting set up and implementation

· Ensure that all meetings are scheduled, agendas are created, and meeting minutes are recorded, distributed, and saved to the server.

· Post Awards, Pre-Construction, Operation meeting, Post construction, Foreman Meetings, Misc. Meeting(s)

· Ensures that meeting invites are sent in advance.

·

Key success measures (outcomes) for this position:

· Onsite availability of material, tools, and equipment (Goal 100%)

· Employees know where they should be reporting to the following day by 3:00 PM daily

· Ensures that all inventoried tools are repaired and available at all times (100%)

· Dispatching and billing for Equipment Division.

· Employees are proficient in all document control software programs and apps

· Ensure that employee development goals are met based on development plan

 

Education:

· High School Diploma or equivalent

 

Professional Qualifications and Experience:

· Experience and exposure in the construction industry

· Understanding of Approved Submittals

· Knowledge of construction equipment, materials and usage.

 

Required Knowledge, Skills and Abilities:

· Ability to communicate clearly and concisely, both orally and in writing

· Excellent Planning and organizational skills

· Ability to develop effective relationships with diverse group of people

· Quick learner and effective negotiator

· Proficiency in Microsoft Office including Word, Excel, PowerPoint and Outlook. Familiar with

Plangrid, HH2, Total Station, Extracker, Bluebeam, Rapid Apps.

 

Languages

· Fluent in written and spoken English. Bilingual preferred.
