As we expand our operations, we are seeking a proactive and organized Office Assistant to join our team and support our day-to-day office operations. This is an in-person only position. We are not seeking hybrid or remote workers at this time.
Job Overview:
As an Inbound Call Specialist, you will be responsible for handling incoming calls from customers or clients seeking assistance, support, or information regarding products, services, or inquiries. You will serve as the first point of contact, providing exceptional customer service while efficiently addressing their needs and inquiries.
Responsibilities:
1. Answering incoming calls promptly and professionally.
2. Greeting callers warmly and identifying their needs or concerns.
3. Listening attentively to understand the caller's requirements and providing accurate information or assistance.
4. Resolving customer inquiries, issues, or complaints effectively and in a timely manner.
5. Providing product or service information to callers and assisting with placing orders or making reservations when necessary.
6. Utilizing company resources, knowledge bases, and training materials to provide accurate and up-to-date information to callers.
7. Documenting call details, including inquiries, complaints, and resolutions, in the appropriate systems or databases.
8. Escalating complex or unresolved issues to the appropriate department or supervisor for further assistance.
9. Maintaining a professional and courteous demeanor at all times, ensuring a positive experience for callers.
10. Adhering to company policies, procedures, and quality standards while handling calls.
11. Performing various office-related tasks as assigned by management.
Requirements:
1. High school diploma or equivalent.
2. Proven experience in customer service.
3. Excellent communication skills, both verbal and written.
4. Strong active listening skills and the ability to empathize with callers.
5. Proficiency in basic computer applications and familiarity with basic phone equipment and software.
6. Ability to multitask and prioritize tasks effectively in a fast-paced environment.
7. Strong problem-solving skills and the ability to think quickly on your feet.
8. Flexibility to work various shifts, including evenings, weekends, and holidays.
9. A positive attitude and a commitment to delivering exceptional customer service.
10. Patience, resilience, and the ability to remain calm under pressure.
Preferred Qualifications:
1. Spanish language proficiency is a BIG plus.
2. Experience with CRM software.
