Q Center is looking for a Full Time Accounting Clerk to join our team!

Job Summary

The Accounting Clerk is responsible for preparing, the timely processing of, and communicating of all guest and client billing in accordance with Q Center’s policies and procedures. This position will summarize receivables by maintaining invoice accounts; coordinating monthly transfers to accounts receivable account; verify totals and prepare reports. The Accounting Clerk is also responsible for ensuring proper review, timely processing and communicating of all payments and disbursements in accordance with Q Center’s policies and procedures. This position will complete payments and control expenses by receiving, processing, verifying and reconciling invoices.

The schedule for this position is8am-5pm Monday-Friday

Starting rate for this position is $17.50/hour

Education & Experience

  • High School diploma or equivalent required.
  • At least one year of progressive experience in Finance or related field required.
  • College course work in Accounting, Finance or related field preferred.
  • Computer knowledge/skills required, including word processing and spreadsheet applications.

Physical Requirements

  • Flexible and long hours sometimes required.
  • Sedentary work – Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Fundamental Requirements

  • Associates must at all times be attentive, friendly, helpful and courteous to all guests and fellow associates.
  • Answer phone and email messages; respond timely and accordingly.
  • Must be able to work with and understand financial information and data, and basic arithmetic functions.
  • Attend meetings/trainings as required by management.
  • Assist in monitoring and maintaining all vendor communication and correspondence; review and process invoices and disbursements, prepare various reports, monitor critical payment lists, verify vendor statements, etc.
  • Assist in maintaining purchase order system, which include a listing of open PO's for goods received but not invoiced, filing, notification of PO discrepancies, etc.
  • Process weekly check run for all Accounts Payable checks, ACH and wire payments; ensure posting to GL system has been completed.
  • Maintain vendor information and update as necessary.
  • Maintain confidentiality of information as it relates to client and financial data.
  • Maintain professional and technical knowledge, staying abreast of the latest state tax laws and regulations and/or purchase order system updates (as applicable).
  • Review all session related information (resumes, billing rates, contract terms) prior to program date to ensure billing is processed correctly; process appropriate corrections as necessary.
  • Provide guests/clients with accurate and timely invoices, statements and schedules.
  • Respond effectively to customer inquiries in a timely manner; communicate all issues and/or disputes to operating departments and supervisor.
  • Handle all weekly tasks associated with billing function independently.
  • Attend and contribute to periodic meetings (pre-convention, credit, etc.).
  • Complete Key Client Summaries regularly.
  • Perform Cashier function on a weekly basis.
  • Keep supervisor informed of any unusual events and/or deviations of policies or procedures.
  • Maintain confidentiality of information as it relates to client and financial data.
