Job Description

POSITION SUMMARY

Cassaday & Company, a top wealth management firm in the country and Virginia’s #1 financial advisor, is seeking candidates to join our nationally ranked, award-winning planning staff as a receptionist.

As a member of Cassaday & Company, Inc. you will act as the face of the firm. This role is integral in upholding Cassaday & company’s reputation for stellar service and polish. This position reports directly to the Operations Manager, but as an employee, you will have daily interaction with all senior executives, our support team, and our client base.

RESPONSIBILITIES

  • Answer phones and greet clients and guests.
  • Maintain cleanliness of reception area, mail room, and all conference rooms.
  • Receive, open, sort, and deliver mail each day.
  • Scan all client documents received in the mail onto the firm server. Label and file electronic client documents per firm SOP.
  • Prepare and send staff & advisor mailings as requested.
  • Check Ops Team mail folder each week and ensure documents are delivered to the correct team member.
  • Manage Robin Desk Share app usage, including adding & training new employees on their accounts, removing termed employees, and tracking staff usage of the app.
  • Create and organize seminar folders, including tracking inventory and ordering raw materials as needed.
  • Maintain clean & stocked kitchen and office supply areas.
  • Organize and order meals for breakfast & lunch meetings.
  • Report maintenance and facilities issues to the Office Manager.
  • Update Company scrapbook and photo albums.
  • Provide HR support to the Operations Manager as needed.
  • Special projects and additional duties as requested.

REQUIREMENTS

  • 3+ years experience as a receptionist.
  • Bachelor’s Degree a plus but not required.
  • Prior experience in the finance or wealth management industry preferred.
  • Strong organizational skills and attention to detail is critical to your success in this position.
  • Ability to manage multiple responsibilities and requests with competing deadlines in a fast-paced, high-performance work environment.
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft Suite tools, with a focus on Outlook, Excel, Word, and PowerPoint.
  • Ability to exercise independent judgement with minimal supervision.
  • Ability to maintain a high degree of confidentiality regarding client affairs.
  • Demonstrates impeccable work quality, holding oneself to the highest standards of excellence, accuracy, and thoroughness.
  • Self-starter with strong administrative and organizational skills.
