Job Description

Job Title: Parish Office Coordinator

Job Summary: We are a parish in the Roman Catholic Diocese of Charleston seeking to employ for salary a parish office coordinator to carry out clerical and administrative responsibilities in an effective and efficient manner.

Job Compensation: Base salary commensurate with experience and skill. Excellent benefits.

Job Type: Full-time - 40 hours per week

Job Schedule: Monday to Friday

Education: Bachelor's (Preferred)

Job Responsibilities:

1. Answer, screen and forward incoming telephone calls.

 

2. Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.

 

3. Receive, sort, and distribute daily mail and deliveries.

 

4. Provide basic and accurate information in-person, telephone, and email, helping meet the needs of parishioners and visitors by offering guidance, direction and a clear understanding of what needs to be done in order to achieve a certain task.

 

5. Perform clerical receptionist duties such as filing, photocopying, transcribing, scanning and faxing.

 

6. Maintain and monitor the Parish filing system, paper and electronic.

 

7. Assist in the setup maintenance of the Parish data management software.

 

8. Manage the Parish registration records of active and inactive parishioners. Register families, and assign / update giving envelopes.

 

9. Manage the schedule and records of Mass intentions, and the payments of stipends.

 

10. Manage funeral arrangements and preparation. Collaborate with Parish staff to schedule funeral services. Make arrangements for musicians as needed. Inform the bereavement committee of the arrangements.

 

11. Mail out memorials to donors and the families of the deceased.

 

12. Collect forms and necessary paperwork for all sacraments as well as prepare certificates

 

13. Collect, maintain and provide accurate sacramental records, notifications and certificates.

 

14. Accurately record in church registers the required information for Baptisms, First Holy Communions, Confirmations, Weddings, Funerals, Rite of Christian Initiation.

 

15. Draft letters, schedule appointments, and handle other administrative duties.

 

16. Assist the pastor and other staff members in administrative duties.

 

Job Requirements:

1. Must communicate effectively (written and verbal) in both English and Spanish.

 

2. Must be very familiar with MS Word and Excel or similar programs (preferably OneDrive), and have the ability to learn other programs as needed.

 

3. Strong organizational and time management skills.

 

4. Strong interpersonal skills - the ability to communicate effectively and with empathy.

 

5. Execute a high level of confidentiality.

 

6. Knowledge of the Catholic faith is preferred, but not required.
