Cascade Counseling is seeking a dedicated and empathetic Client Support Specialist to join our mental health clinic. In this role, you will be the primary point of contact for clients, providing support in accessing services, handling billing inquiries, and performing various administrative duties to ensure the smooth operation of the clinic.
Responsibilities
Client Support
- Act as the first point of contact for clients, providing a positive, welcoming and supportive environment.
- Assist clients in scheduling appointments, completing intake forms, and navigating clinic services.
Billing and Financial Support
- Manage billing processes, including verifying insurance information and processing payments.
- Address client inquiries related to billing, fees, and insurance coverage.
Administrative Duties
- Maintain accurate and up-to-date client records using our electronic systems.
- Assist in coordinating and scheduling appointments for clinicians.
- Ensure compliance with confidentiality and privacy regulations.
- Complete screening for potential client to ensure a good fit (Must be QMHA eligible).
- Effectively utilize EHR for scheduling, file management, claims submission, records and other needs as they arise.
- Maintain the wait list
Communication
- Communicate effectively with clients, clinicians, leadership and other staff members to facilitate smooth operations.
- Provide clear and concise information to clients regarding clinic policies and procedures.
Problem Resolution
- Respond to all initial client inquiries via email and/or phone
- Address client concerns and issues promptly and professionally.
- Collaborate with internal teams to resolve complex client-related matter
Miscellaneous
- Light cleaning duties and sanitation to assist in-office services
- Participate in all team meetings
- All other duties as assigned based on the growing needs of the business
Candidate Requirements

• Bachelor’s degree in psychology, social work, or a related field preferred.
• Proven experience in a client support or administrative role.
• Knowledge of mental health services and familiarity with billing processes.
• Strong organizational and multitasking abilities.
• Ability to handle sensitive information with discretion and confidentiality.
