Summary

Tracks and prioritizes all areas of quote requests and orders from quote submittal to shipment to the customer.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

• Coordinate and maintain proper tracking of RFQ / EPR schedule to notify outside all pertinent status and delays in quote processing before the due date and communicate the movement of due date accordingly.
• Quoting, processing, and confirming spare replacement parts (START TO FINISH)
• Coordinating with all areas of purchasing, shop, and warehousing to provide weekly lead time updates for parts orders.
• Managing parts order status updates and providing clear communication to external customers.
• Provide support to the estimating group in conversing with outside vendors and suppliers for current pricing and availability and updating the Visual system accordingly with data received.
• Reach out to suppliers for quarterly pricing of various materials as directed by the estimating group.
• Communicate with local and international freight carriers for transport estimates as required for quotes and jobs.
• Compile and generate complete costing bids for projects by estimating group when directed.
• Coordinate bid/quote package to obtain outsourced costing for parts if the project was originally estimated to be performed in-house and changed to outsourced requirements due to shop space and capabilities. Effect communication with estimating, shop manager, and vendor to determine timely pricing and availability. After Supervisor approval, issue costing to PC and Purchasing to add to the open job and issue PO to vendor.
• Provide support to the purchasing group with item/part system maintenance to reach out to vendors to update the Visual system with preferred vendors.
• Perform new part number set up in Visual as determined by engineering.
• Run monthly Vendor’s Open PO report and send expediting notices to vendors to receive updates on materials receipt to Austin.
