BallenIsles Country Club is excited to announce the exceptional career opportunity of Social Activities & Events Manager to join our team of professionals!   

General Purpose:

The Social Activities & Events Manager assists with the day-to-day operations of the Social Department/Events/Catering; provides administrative, phone, and planning support to the Director and other Food and Beverage Managers as needed.  She/he is responsible for assisting with the planning and execution of catering/events/activities and ensures member satisfaction and fiscal responsibility.

Essential Duties:

·        Participates in pre-event presentations, property tours, and member/client meetings.

·        Ensures proper management of all social activities and catered events, including, but not limited to: sales, marketing, planning, floor plans, seating assignments, merchandising, servicing, day of management, and corresponding administrative procedures.

·        Act as a main point of contact for member events including creating event orders, event marketing, menu selection, RSVP’s, billing coordination, and onsite representation.

·        Assists the Director in planning club events as needed.

·        Provides members and guests with regular, responsive communication.

·        The Social Activities & Events Manager will also assist other departments (Golf, Fitness, Membership, and Tennis) in creating and hosting events.

·        Prepares, implements, and compiles data for various reports as directed. Significant time will be spent on a computer.

·        Ensures accurate and timely recording of events and changes to events, in the Jonas Activity Module.

·        Ensures accurate and timely invoicing and billing practices for all services rendered.

·        Assists with the completion of banquet event orders and attends daily and weekly meetings to review with managers and food and beverage staff. Compiles and distributes a 2 week forecast with complete banquet event orders. Hosts any additional pre-production meetings as needed.

·        Manages department staff members that may include, but is not limited to, any Events staff such as: Coordinators, Set-Up Staff, Event Supervisors and Servers.

·        Responsible for implementing and maintaining excellent service to achieve member and guest satisfaction.

·        Provides specialty menus, food signs, and other support items for the food and beverage department.

·        Assists the Director with monthly/yearly calendar planning. Communicates with various departments regarding event details to ensure successful completion of all events.

·        Assists in special event proposals, pricing and menu options to members and guests.

·        Obtains quotes for event services from vendors including, but not limited to, décor/florists, rentals, audio visual services, entertainment, specialty/custom linens, etc.

·        Provides wedding and other special event proposals, pricing, and menu options to members and guests.

·        Assists in training, planning, addressing complaints, and resolving problems.

·        Regular and reliable attendance.

·        Professional, polished appearance.

 

Education/Experience:

·        Bachelor’s degree (BA), 3 or more years of progressive experience in the field of event planning, or an equivalent combination of education and experience in a similar country club or luxury environment. 

 

Job Knowledge, Skill, and Ability Preferences:

·        Ability to read and speak English is required in order to perform the duties of the job (e.g. the associates may be required to communicate with English speaking customers or co-workers, the manuals for the equipment the associates may use are in English).

·        Proficiency in Microsoft Office Suite, particularly Excel and Word.

·        Basic knowledge of Canva and Publisher.

·        Familiarity with Jonas Club Management Software and Jonas Activity Management preferred.

·        Demonstrated knowledge, skills, and abilities in event planning and execution.

·        Excellent communication and interpersonal skills.

·        Ability to work flexible hours including days, nights, holidays and weekends.
