Position Overview:

The Campaign for Tobacco-Free Kids--a Washington, D.C based public health advocacy non-profit is seeking a Chief of Staff (COS) to the President/CEO. The Chief of Staff is a newly created position designed to support the President/CEO as she enters her second year leading the organization. This unique role encompasses a critical blend of administrative expertise, project management, and operational acumen. With a keen eye for detail and a proactive approach to problem-solving, the Chief of Staff enables the President/CEO to focus on their leadership responsibilities while driving the organization toward continued success and growth.

The COS will work closely with the President ensuring external priorities are being tracked, met, and reported and are successfully intergraded into the goals of the organization. With an engaged Board of Directors, the COS will additionally work with the President/CEO’s Office to draft and coordinate timely monthly reports to the Board, and effectively manage outreach, appointments, meetings and information exchange.

In partnership with the President/CEO’s Executive Assistant, the Chief of Staff will ensure that the President maintains open and informed relationships with external partners, key funders and decision-makers, and provides on-going clear, knowledgeable and trusted engagement.

This role requires cross-functional coordination and successful execution of ideas, actions and networking to promote positive and productive external relationships. The candidate must be comfortable in pushing for clarity when tasks are ambiguous but require timely delivery, decisive action, effective materials, and collaborative integration.

WHAT YOU'LL ACCPLISH:

General Oversight

  • Help drive and execute key external organizational priorities and initiatives.
  • Prepare the President/CEO for external meetings and speeches by managing the development of briefing materials and talking points.
  • Conduct research and analysis to inform decision-making and action.

Day-to-Day Management and Coordination with the Executive Assistant (EA) to the President:

The Executive Assistant is responsible for the President/CEO’s schedule, calendar, travel management and coordinating internal business and contractual priorities.

  • The COS strategically suggest adjustments to the President/CEO’s calendar, capturing external events and meetings and flagging items that require the President’s direct attention.
  • Assist the Executive Assistant in responding to ad-hoc President/CEO external requests.

External Communication:

  • Address external opportunities and assess their fit against priorities.
  • Complete first draft of speeches, reports, and presentations for President/CEO’s review for all external activities
  • Help to identify and organize events with external vendors/partners/legal associates and funders (dinners, presentations, speaking engagements, etc).

Manage Board of Directors Communication and Engagement with the President/CEO:

  • Draft and disseminate bi-monthly Board update memos.
  • Attend, take minutes, and capture follow-ups actions for all Board meetings.
  • Execute Board preparation, including review of the first draft of staff reports, written summaries, briefing materials and talking points.
  • Manage end-to-end planning and execution of all board meetings.

Execution of Special Projects:

  • Manage selective projects that may be outside of defined daily functional activities of the President’s office but have the President/CEO’s guidance and approval.

SKILLS YOU'LL BRING TO THE ROLE:

  • 3-5 years of experience in fast-paced environments, supporting senior leadership.
  • Bachelor’s degree in business administration or other related fields.
  • Proven track record of senior-level operational excellence, proficiency, creativity, and effective collaboration.
  • Problem-solver who can make clear decisions while under pressure.
  • Outstanding written and verbal communication skills.
  • Strong attention to detail and ability to synthesize complex information.
  • Strong proficiency with PowerPoint, Google Slides, and data visualization comfort with modeling & Excel.
  • Ability to manage-up and influence without explicit authority.
  • Willingness to take on ad-hoc assignments with tight deadlines.
  • Interest or experience in public policy and advocacy a plus.
